What’s the job?
The Event Services Coordinator supports and executes events (meetings, weddings, workshops, etc) while ensuring that all logistics requirements are carried out according to the event plans. He/she understands clients' requirements, manages the event plans and collaborates with the Operations department to ensure that all operational requirements of the events are fulfilled according to clients' needs.
He/she is detailed, organised and resourceful, and possesses excellent problem-solving skills and good interpersonal skills to coordinate amongst multiple stakeholders to execute event services effectively. He/she is able to react quickly to deviations in the event plans.
He/she works in a flexible workweek, including weekends, evenings, and public holidays, and is comfortable working in both indoor and outdoor environments, depending on the nature of the events.
Your day-to-day
- Oversee the end-to-end planning and seamless execution of events, including seminars, weddings, corporate meetings/gatherings, social dinners, etc.
- Execute site inspections and monitor activities to ensure that the events meet the requirements of clients.
- Innovate, adapt and work closely with clients to produce a plan that meets their event requirements, needs and expectations.
- Initiate billing procedures, ensure that deposits and/or credit applications are received with adequate information and within an acceptable time frame.
- Ensure the accuracy of bookings, event requirements and banquet event order (BEO) paperwork at all times.
- Collaborate with chef on menu requests.
- Work closely with operations team to ensure seamless execution of committed events.
- Coordinate logistics for events, including setup, registration, catering, and audio-visual requirements.
- Work with the marketing team to develop promotional materials.
- Ensure timeliness and effectively responds to and handles any issues that may arise pre and post events by clients.
- Focus on client experience and is present pre and post events to ensure a seamless and great experience for clients.
- Interacts with guests to obtain feedback on product quality and service levels.
- Perform other duties as assigned by the management.
What we need from you
- Diploma in related discipline
- 2 years of event planning and management and restaurant & bar background in the hotel/F&B sector
- Strong organisational, negotiation and problem-solving skills
- Strong client excellence and relationship management skills
- Self-motivated and results-focused
- A positive and keen to learn attitude
- Must be proficient in written and spoken English and with good communication skills. Mandarin speaking will be an advantage.
