Responsibilities
- Assist to plan and organize various activities, including but not limited to birthday parties, holiday celebrations, and social dinners, including reservations and arrangements
- Provide additional administrative support, including but not limited to administrative tasks during travel, property rental administration, and medical arrangements and accompaniment
- Calendar Management of Senior Management including travel management and planning
- Organise and schedule meetings and events, including arrangement of venues, preparing agendas and materials
- Assist in the preparation of reports, presentations, and other documentation as needed. Ensure all materials are accurate and delivered on time.
- Minutes taking and ensure timely follow up on action items
- Act as the primary point of contactfor customers i.e. handle phone calls, emails and correspondence.
- Provide administrative support, including email correspondence, document management, admin building, pantry, facilities logistics, events planning and setup
- Other admin duties – obtaining supplies, sorting/distributing mails, general office administrative tasks.
Requirements
- Fluent communication skills in both Mandarin and English
- Able to be on standby and responsive as needed
- Pleasant personality, good temperament, reliable, down-to-earth, and extremely detail-oriented
- Occassional travelling is required
- Work in office (Hillview/Newton)
- $10/hr, 3days work week between Mon-Sat, work shift (9-5pm or 12-8pm)
- One month probation with training provided $8/hr
