Our client, a leading Multinational American Technology company, is in search of an Executive Assistant to support diary and calendar management for one manager under the Asia team.

- Monday-Friday, 9am – 12pm
- Hybrid: flexible schedule depending on meetings and event
- Supporting 1 Senior Director for Asia and Team Administration
Responsibilities
- Manage the sponsor’s schedule, ensuring seamless adjustments to shifting priorities.
- Occasionally organize community calls for other leaders and take minutes during monthly all-hands meetings.
- Oversee travel arrangements and expense submissions for a team of five.
- Plan and execute logistics for biannual meetings, events, and team activities, ensuring optimal productivity and outcomes.
- Provide assistance to the broader team with ad hoc tasks and general administrative needs.
- Facilitate communication between leadership, regional teams, and key business partners to improve processes and share best practices.
- Partner with the Corporate Business Management team to manage budgets, track headcount, and ensure compliance with organizational policies.
- Proactively manage the annual Rhythm of Business (ROB) calendar, resolving scheduling conflicts promptly.
- Monitor and follow up on open tasks to ensure timely resolution.
- Address office space requirements and manage technology-related needs.
Requirements:
- Bachelor's Degree or equivalent
- At least 5 years of experience in a similar Executive Assistant role, ideally supporting executives at the regional level.
- Proficient in calendar management, travel coordination, and expense reporting. Prior experience at Microsoft is a plus.
- Strong organizational, problem-solving, and time management skills, with exceptional attention to detail.
- Comfortable working in a global, cross-functional team and building relationships at all levels of the organization.
- Demonstrates adaptability, professionalism, and discretion when managing sensitive information.
- Adept at thriving in dynamic environments, responding effectively to changing priorities, and working independently with a positive attitude.
- Experience with tools such as Outlook and CRM systems is advantageous.
