Job Summary:
We are looking for a friendly, organized, and professional Receptionist to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing a welcoming and efficient experience.
Key Responsibilities:
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person or department.
- Answer, screen, and forward incoming calls in a polite and professional manner.
- Maintain the reception area, ensuring it is tidy, presentable, and equipped with necessary materials (e.g., pens, forms, visitor logs).
- Schedule appointments and manage meeting room bookings.
- Assist in distributing parcels and post mail, ensuring timely delivery to the intended recipients.
- Coordinate with other departments to ensure smooth office operations.
- Maintain security by following procedures, monitoring logbooks, and issuing visitor badges.
- Manage office supplies and order replacements when necessary.
- Provide general support to office staff as needed.
Qualifications:
- High school diploma or equivalent (additional certification in Office Administration is a plus).
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Excellent communication skills (both written and verbal).
- Ability to multitask and manage time effectively.
- Proficiency in MS Office (Word, Excel, Outlook).
- Basic knowledge of office equipment (printers, scanners, etc.).
