Job Summary
This role will be responsible for overseeing and managing a wide range of operational and administrative functions, including expatriate management, travel management, office operations, and vendor coordination. This role requires strong organizational skills, attention to detail, and the ability to work effectively with stakeholders across all levels. Familiarity with local regulations related to these functions is essential to ensure compliance and smooth operations.
Key Responsibilities:
Expatriate Management
- Liaise with vendors for temporary car rentals and accommodation for expatriates.
- Coordinate with housing agents and car dealers for permanent housing and vehicle purchases upon approval.
- Review tenancy agreements and ensure compliance with local laws and regulations.
- Work with the internal legal department to secure approvals and process necessary costs related to expatriate arrangements.
Travel Management
- Oversee travel arrangements and validate the accuracy of travel management reports.
- Ensure travel processes comply with company policies and relevant local regulations.
- Maintaining company travel policy.
Budget and Invoice Management
- Manage department budgets, ensuring accuracy and alignment with company goals.
- Process invoices and ensure adherence to internal financial processes.
- Tracking office expenditure.
Office Operations
- Supervise daily operations, including office maintenance, reception services, and vendor coordination.
- Oversee servicing and maintenance of office equipment, including security systems.
- Ensure compliance with local safety and building regulations for office operations.
- Ensure office renovation or office relocation are coordinated and approved before actual commencement.
Fixed Assets Management
- Maintain and oversee the tracking and management of fixed assets in compliance with company requirements.
Requirements
- Proven track record of managing multiple projects and operational functions, particularly in expatriate management, travel management, office operations, and vendor relationships. Previous experience in Asian MNC environment is highly desired.
- Strong familiarity with local regulations and compliance requirements related to tenancy, travel, office operations, and asset management.
- Strong organizational and problem-solving skills.
