Job Title: Executive Assistant to CEO/COO and Office Coordinator
Job Overview: We are seeking a highly organized, proactive, and detail-oriented individual to serve as the Executive Assistant to the CEO and COO, while also taking on the role of Office Coordinator. This hybrid role will provide critical administrative support to the leadership team while ensuring the efficient operation of the office environment. The ideal candidate will have strong communication skills, the ability to multitask, and a passion for delivering excellent service.
This position is based in Singapore and reports to the COO.
Key Responsibilities:
Executive Assistant to CEO/COO:
- Calendar & Schedule Management - Manage and organize complex calendars for the CEO and COO, including scheduling meetings, appointments, and conference calls.
- Meeting & Event Coordination - Manage all logistics related to meetings, including location, catering, AV equipment, and meeting agendas.
- Travel Coordination - Book flights, accommodations, and transportation for the CEO and COO, ensuring all arrangements align with company policies and are cost-effective.
- Expense reconciliation - Prepare and submit expense reports for travel and other business-related expenditures.
- Communication & Liaison - Serve as the primary point of contact between the CEO, COO, and internal/external stakeholders.
- Project Assistance - Assist in planning and executing internal projects by coordinating tasks, tracking milestones, and ensuring deadlines are met.
- Alternate HR support
Office Coordinator:
- Oversee the daily operations of the office, ensuring it runs smoothly and efficiently.
- Provide administrative support to the leadership team and staff, including organizing files, managing data, and preparing reports.
- Organize and coordinate company events, including team-building activities, office celebrations, and other employee-related events.
- Handle office supplies, equipment, and vendor relationships, including ordering supplies and managing maintenance schedules.
- Ensure the office environment is organized, clean, and conducive to a productive work environment.
- Required Qualifications:
- Proven experience as an Executive Assistant, Office Coordinator, or similar role, ideally supporting senior executives (CEO/COO).
- Experience managing travel and complex calendars for senior executives.
- Strong organizational skills with the ability to multitask and meet deadlines.
- Excellent communication skills (written and verbal).
- High level of professionalism and discretion with confidential information.
- Proactive, independent, and strong problem-solving skills.
- Strong interpersonal skills and ability to collaborate across teams.
- Background in office management, event coordination, or project management.
