Admissions Ambassador

Job Summary:

This is a 4 month contract role from January 2025 to April 2025 that may have the opportunity to become permanent.

The successful applicant will provide support to the Admissions Team in the promotion of the School and the care of new students and families as they join the Tanglin Community. S/he is required to work with the team in the process of enrolling new students to the School by conducting tours and responding to enquiries for prospective families. The role reports to Head of Admissions.

Requirements:

  • Minimum Diploma holder or equivalent
  • Minimum 3 years of relevant working experience
  • Proven experience in a Customer Service/Sales role
  • Able to use initiative to tailor appointments to meet the needs of prospective families
  • Proficient in Microsoft Office Applications including Excel and Word
  • Excellence in written and spoken English
  • Confident, mature and self motivated
  • Pleasant disposition with excellent interpersonal, organisational and communication skills
  • Able to work independently as well as in a team

Key Responsibilities

1. Assessment & Enrolment

· Develop a sound knowledge of the enrolment policies, procedures and criteria of the School.

· Conduct/invigilate online assessments and/or arrange assessments / interviews for applicants with faculty staff as necessary.

· Effectively answer queries regarding enrolment from prospective families and families that have received an offer of a place;

· Build strong relationships with prospective families by recognising their individual needs and providing consistent information and feedback; and

· Work with Heads of School to provide applicant enrolment information to facilitate placing successful applicants into classes and houses.

· Coordinate orientation for new students across all year groups in conjunction with Head of School, Deputy Head of School, Assistant Head of School and Heads of Year

2. Promotion of the School

· Use contact with parents and their sponsoring companies to develop awareness of Tanglin;

· Develop positive relationships with the Tanglin community including students, parents, staff and governors;

· Participate in the schools open mornings; and

· Liaise with all team members working towards common goals.

3. Administration

· Contribute to the development of a seamless administrative process for enrolment to Tanglin;

· Handle personal details and queries of prospective parents in a confidential manner; and

· Work within the pre-set policies as laid out by the School.

· Assist the Admissions Team with arranging testing where necessary

· Assist the Admissions Team to conduct and invigilate online assessments where necessary.

4. Communications

· Confidently handle all enquiries, focusing on needs of prospective students;

· Manage and follow up with all new enquiries received via OpenApply and the TTS outlook inbox in a timely and professional manner

· Use appropriate personal skills to handle enquiries and feedback;

· Maintain positive and open lines of communication with colleagues throughout the School; and

· Refer to particular areas of the School for updated information on curriculum or answers to queries.

· Be responsible for reporting any concerns about a child to the Designated Safeguarding Lead.

5. Open Day Preparation and Administration

· Work with Head of Admissions to evaluate and schedule appropriate Open House dates for Term 1 and Term 2. Dates should be discussed with Heads of School and confirmed no later than week 2 of Term 1 to allow efficient time for Marketing.

· Lead and co-ordinate operations of the Open House Events, inclusive of, but not limited to collaboration with Catering, Operations, Security, Theatre and Events.

· Co-ordinate the RSVP follow up phone calls to prospective families before the event.

· Work with Admissions Team to ensure post event follow up has been completed via OpenApply.

· Lead the Open Day De-Brief with the Admissions Team.

· Analyze and report on Open Days attendance/no shows and application conversion.
