Locations:
- One position based in Singapore.
- One position based in Malaysia.
- Travel between Singapore and Malaysia offices once or twice a month when required.
Reporting to: Head of Human Resources
What You'll Do:
- Manage the full spectrum of HR functions, including recruitment, compensation and benefits, policy development, and employee remuneration for our offices in Singapore and Malaysia.
- Collaborate with the Managing Director and Heads of Departments to develop and implement HR policies, strategies, and processes to attract and retain talent, and enhance manpower productivity.
- Provide guidance on employee relations to foster a cohesive and collaborative workplace.
- Conduct annual job grading, salary banding, and performance evaluations.
- Administer work pass applications, renewals, and cancellations.
- Prepare employment documents such as offer letters, increment letters, resignation acceptance letters, and disciplinary action letters.
- Maintain accurate HR databases and employee records.
- Assess employee training and development needs and make recommendations.
- Facilitate internal communications to keep employees informed and motivated.
- Handle monthly payroll processing, benefits compensation, reimbursements, CPF submissions, IR8A submissions, and government claims (e.g., childcare, maternity, NS) for local and overseas employees.
- Assist in organizing management meetings, townhall meetings, and other welfare-related events, including company functions and team-building activities.
- Manage insurance policies, including health, workers' compensation, and liability insurance, and assist with claims and renewals.
- Oversee office administrators in Singapore and Malaysia, ensuring efficient management of office assets and supplies, and coordinating travel arrangements for employees.
- Support workplace health and safety management.
- Assist in Personal Data Protection Act (PDPA) compliance.
- Provide general secretarial support to the Head of Human Resources.
What We're Looking For:
- Bachelor's degree or Diploma in a relevant field.
- Minimum of 3 years of experience in HR and administrative roles.
- Knowledge of HR laws and regulations, including Foreign Work Pass Regulations/Procedures in Singapore and Malaysia.
- Excellent communication, interpersonal, and analytical skills.
- Ability to handle sensitive and confidential information with discretion.
- Strong multi-tasking, planning, coordination, and follow-up skills.
- Hands-on experience and proficiency with IT software and hardware.
- Ability to use HRMS systems, specifically InfoTech.
- Proficiency in MS Office applications, especially Excel and PowerPoint.
