Responsibilities:
- Manage and maintain accurate records, files, and documents (e.g., invoices, purchase orders, and production schedules).
- Handle correspondence such as emails, letters, and phone calls in a timely manner.
- Prepare reports, presentations, and other documents for management.
- Ensure smooth day-to-day office operations, including supply inventory and equipment maintenance.
- Liaise with internal departments such as production, logistics, and quality control to coordinate workflows.
- Support HR-related tasks such as maintaining employee attendance records, scheduling interviews, and onboarding new staff.
- Ensure all company documents comply with regulatory and food safety standards (e.g., SFA, HACCP, and ISO certifications).
- Maintain documentation for audits and inspections, including production records and quality assurance files.
- Assist in the preparation of necessary licenses and certifications required by the food manufacturing industry.
- Monitor production schedules and ensure timely updates to relevant departments.
- Assist in planning and tracking shipments, inventory levels, and procurement of raw materials.
- Handle purchase requisitions and coordinate with suppliers for timely deliveries.
- Handle inquiries from customers and vendors, ensuring excellent service standards.
- Coordinate with suppliers to resolve issues related to orders, payments, or delivery schedules.
- Identify and implement process improvements to enhance administrative efficiency.
- Develop standard operating procedures (SOPs) for administrative tasks.
Requirements:
- At least 2 years of administrative experience, preferably in a food manufacturing or production environment.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and administrative software.
- Knowledge of regulatory standards in food manufacturing (e.g., food safety and hygiene standards).
- Excellent communication skills, both verbal and written.
- Problem-solving mindset with attention to detail.
