The Operations Assistant is responsible for supporting daily shelter operations and handling essential administrative tasks across two shelter locations. Key responsibilities include overseeing tenant intake and discharge, addressing tenant issues, and ensuring compliance with shelter rules. The role also involves coordinating vendor services, managing supply inventory, processing invoices, and tracking expenses.
Roles & Responsibilities:
Operational Administration:
- Support the daily operations of the shelter.
- Organize and schedule vendor appointments, deliveries, and essential services.
- Prepare essential documents, including notifications, warning letters, incident reports, and meeting minutes.
- Manage inventory for operational supplies.
- Assist with submission and follow-up of procurement processes.
Shelter Operations:
- Help maintain the shelter premises by liaising with vendors for repairs and maintenance.
- Manage tenant intake and discharge processes.
- Address to shelter operations requests.
- Assist in resolving tenant conflicts or issues.
- Conduct routine checks on shelter units and enforce rules and regulations.
- Oversee vendor activities, ensuring quality service.
Finance Administration:
- Process invoices and purchase orders.
- Track monthly expenditures required for shelter operations.
Candidate Profile:
- Female candidate required to conduct routine checks in female-occupied units.
- O-level, ITE, or Diploma in any discipline.
- Comfortable traveling between work locations and occasionally working at different work hours.
- Proficient in MS Office (especially Word and Excel).
- Good time management, organizational, and multi-tasking skills.
- Attention to detail and problem-solving abilities.
- Proficient verbal and written communication skills.
