Job Responsibilities:
Reporting directly to CEO & COO, you will be responsible to:
- Assist the CEO & COO in the day to day business operations.
- Support the CEO & COO to schedule for initial business meetings and provide assistance to follow up with clients or partners for subsequent engagements.
- Provide corporate secretarial support, like reports/slides compilation, minutes writing, assist in board meetings preparation, etc.
- Assist CEO to establish new client relationships and maintain existing client relationships.
- Liaise with external stakeholders like auditors, vendors/contractors, clients and partners.
- Manage events for the company which may include but not limited to client / partner engagement events, internal team building, monthly staff townhall and staff engagement to promote team synergy.
- Provide secretarial support for minutes taking during scheduled monthly meetings and provide assistance to follow up on outstanding items. This individual will create a task/project list and work with internal stakeholders to ensure items are executed.
- Prepare and generate timely and accurate reports: monthly personnel statistics, salary analysis, ERM, management report, budget, auditors’ reports, quarterly MAS employment and salary costs, update organization chart and participate in IDA, MOM surveys, and other ad-hoc duties as assigned.
- Assst in company administrative matters and clearing of invoices. In addition to assist the CEO in validating outgoing payments which is below the indicated benchmark.
- Tracking and monitoring of client / partner sponsorships and also important dates which are pertaining to key clients / partners.
- Distribute a quarterly communication to business partners and staff respectively to strengthen relationships.
- Assist the CEO to track service levels and customer experience.
- Assist the CEO in obtaining regular updates from all department heads and consolidate the report for the Executive Committee meeting.
- Assist the CEO to create a calendar of important recurring events so that the company engages with business partners on these important dates.
Job Requirements:
- Diploma in Business Studies/ Human Resource Management or equivalent with minimum 5-7 years of relevant work experience preferably in the financial industry
- Able to handle sensitive and private information with high confidentiality
- Meticulous, resourceful, disciplined, self-motivated with great initiative, able to work independently & within teams in a fast paced and challenging environment
- Pleasant disposition with excellent interpersonal, presentation, problem-solving and communication skills (both written and verbal)
