Role Overview:
Administrative Assistant is integral to the smooth operation of our office. Your role will involve a variety of administrative tasks, including but not limited to, document management, communication handling, and liaison with external parties. The ideal candidate possesses a high level of professionalism, attention to detail, and efficiency in all aspects of their work.
What You Will Do:
- Prepare, file, and organise various company documents and records, including HR, billing, expenses, internal equipment, and corporate files, ensuring accuracy, completeness, and that all information is current
- Maintain confidentiality of all company information
- Handle incoming communications via phone and email, ensuring timely and professional responses
- Liaise on behalf of the company with external parties, including but not limited to, government departments, auditors, vendors, and associations, building and maintaining good relationships.
- Address staff queries
- Staff onboarding and offboarding
- Coordinate schedules, meetings, and appointments for company management and leadership, ensuring optimal time management and avoidance of scheduling conflicts
- Distribute agendas and prepare minutes for meetings
- Monitor office supplies inventory, place orders, and manage budgets
- Provide administrative support to other teams and projects as needed
The Must-Haves Qualifications:
- Bachelor’s degree
- At least 1 year of experience in administrative or secretarial roles.
- Excellent written and spoken English
- High proficiency in Adobe Suite, MS Office and other office productivity tools
- Tech-savvy, with the aptitude to learn new software
- Key attributes: meticulousness, discretion, and exceptional time management skills
