Job Description: Administrative Executive

Position Overview: The Administrative Executive is a key support role responsible for providing administrative and organizational assistance to ensure the smooth functioning of the organization. This position requires a combination of administrative skills, attention to detail, and effective communication to support various functions such as coordinating office activities, events and logistics, fund management and assisting in day-to-day operations.


Key Responsibilities:

1) Office Management:

  • Oversee and maintain office operations, including managing office supplies, equipment, maintain filing and facilities support.
  • Handle incoming calls, emails, and correspondence, response or redirecting them as necessary.
  • Coordinate meetings arrangement and external despatch.

2) Administrative Support:

  • Assist in preparing presentations, spreadsheets, and data analysis.
  • Assist in creating and updating organizational policies and procedures.
  • Prepare reports, memos, and other business-related documents as required.

3) Financial Administration:

  • Manage donations received by company
  • Collate data for funders eg TBCHF, NCSS funding
  • Creation of Purchase Order (PO), update Payment Voucher (PV).
  • Assist with budget tracking & expense reports.

4) Events Management & IT Support:

  • Coordinate and assist in organizing company events and workshops. Support all logistic and registration processes.

5) Any other duties as assigned by CEO/COO.



Job Requirements:

  • Diploma holder with 5 years of working experience in a similar capacity.
  • Prior experience working in a charity or social work environment would be an advantage.
  • Highly resourceful, excellent administrative and organisational skills.
  • Proficient in MS Office (Word, Excel, PowerPoint) and Social Media.
  • Strong communication and interpersonal skills.
  • Strong problem-solving skills, multi-tasks and adaptability.
  • Ability to work independently and collaboratively in a team environment.
  • Able to work on weekends for events management, if required
  • Open to locals and PRs in Singapore only.
