Job Description:
a. Provide secretarial duties like answering calls, taking messages and scheduling meetings.
b. Receive, sort daily faxes and distribute to departmental managers.
c. Type letters and memos, send agendas and take meeting minutes.
d. Screen company emails and redirect to other departmental managers.
e. Set up Board Meetings, Sub-Committee Meetings, Annual and Extraordinary General Meetings. Prepare agenda for circulation to Directors by Company Secretary. Keep and update resolution, minutes of Board Meetings and Sub-Committee files.
f. Prepare itinerary, organize business trip file, put up travel request and expense forms.
g. Handle travel arrangement, visa application and hotel reservation
h. Assist in the sourcing, planning, production, verification and distribution of Annual Report to shareholders annually.
i. Update of company website on new information and corporate announcements.
j. Monitor and follow up on corporate management and financial reports.
k. Set up and maintain a good filing system for General Management’s Office.
l. Organize and send out season greeting cards.
m. To provide backup for other personal assistants.
n. Any other tasks as and when assigned by CEO.
Qualification
- Diploma in Business or Private Secretarial Certificate
- Skills: Proficient in MS Office, Good communication and interpersonal relationship skills, able to multi-task and work in a fast-paced environment
- Minimum 3 years secretarial experience in supporting senior executives
