Responsibilities


Administrative:

  • Manage parking applications and renewals.
  • Coordinate maintenance contract renewals.
  • Approve RFP & Purchase Request.
  • Allocate office cabinets and maintain key records.
  • Monitor and renew office/company licenses.
  • Liaise for BCA Annual Survey and internal communications.
  • Oversee outsourced services for travel, claims, and mobile/laptop matters.
  • Manage office document storage and secure destruction.
  • Handle news/magazine subscriptions and corporate donations.
  • Prepare and monitor the annual budget for Admin costs.
  • Negotiate corporate rates with hotels and airlines.

Insurance Matters:

  • Liaise for Group Business Travel and Global Insurance Program policies.
  • Consolidate annual GIP Questionnaire information.
  • Assist Risk Manager with training and GIP questionnaire consolidation.

Company Regulation:

  • Draft and amend Company Regulations.
  • Maintain records and update the Company Regulation Master list.
  • Consolidate annual review checklists for audit purposes.

Facilities:

  • Inspect office premises and arrange maintenance.
  • Apply for permits for repairs/renovations.
  • Liaise with building management and contractors.
  • Manage office space and lease renewals.
  • Coordinate with IT on annual power shutdowns.

Events:

  • Plan and organize corporate events.
  • Coordinate annual donation drives.

Back-up Duties/Others:

  • Cover for team members as needed.
  • Act as QEHS steering committee and CSR committee member.
  • Perform other tasks as required.

Team Management:

  • Lead and develop team members to achieve goals


Requirement

  • Diploma or equivalent with 3+ years of office administration experience.
  • Team management experience, ensuring deadlines and budgets are met with a focus on compliance and fairness.
  • Effective communication skills at all levels.
