Assistant Manager

Manage Service Staff and Partners On-Site

  • Supervise service staff responsible for shelving, shelf-reading, handling customer queries, and backroom operations.
  • Ensure service staff are updated on work processes, policies, guidelines, and SOPs.
  • Monitor performance, provide feedback, and highlight issues or commendations to the Team Leader and Library Manager, including patron complaints and compliments.
  • Consolidate and submit monthly feedback on vendor performance to the Manager.
  • Act as the primary liaison for volunteers at the branch.

Oversee On-Site Systems and Building Maintenance

  • Report system access issues and required maintenance.
  • Ensure daily checks of system functionality by service staff and report faults as needed.
  • Troubleshoot system-related issues.
  • Manage IT equipment and system asset housekeeping.
  • Report, track, and follow up on building/site faults and maintenance issues.
  • Ensure library facilities are clean, well-maintained, and safe for use.

Collection Promotion and Maintenance

  • Collaborate with the Branch Manager on collection promotion and upkeep.
  • Monitor and analyze collection performance.
  • Ensure items are shelved within the stipulated timeline.
  • Follow up on damaged, incomplete, or mismatched collection items.
  • Process and remove decommissioned books from the library collection.

Handle Customer Queries

  • Support the Library Manager in addressing customer feedback.
  • Communicate feedback and required actions to staff/service staff for follow-up.
  • Collate and report monthly compliments, complaints, and feedback.
  • Manage lost and found items within the library.

Crisis Management

  • Maintain and oversee PPE items and the First Aid kit.
  • Handle crisis situations and escalate communication according to SOPs.

Other Operational Responsibilities

  • Assist the Library Manager in preparing the annual library report.
  • Oversee the inventory of library supplies, including stationery and pantry items.

Requirements:

  • 5 days work week (across Monday - Sunday)
  • 1 year contract
  • Location: Chinatown
  • Salary $4,600
