RESPONSIBILITIES
- Policy Development and Resource Guides: Support the Senior Deputy Director (Faculty Matters) in developing and updating faculty policies, guidelines, frameworks, and resource materials.
- Teaching Load Management System: Oversee the operations of the Teaching Load Management System in collaboration with OBI and IITS, including supporting system enhancements.
- Faculty Activity and Administration Systems: Play an integral role in developing processes and systems related to faculty activity reports and administrative functions, such as the faculty CV module.
- Leadership Development: Work closely with HR to plan and implement faculty leadership development programs and workshops.
- Faculty Initiatives and Committees: Support task forces, committees, and faculty-focused initiatives across the University.
- Strategic Recruitment: Assist the Provost and search committees in recruiting for strategic faculty appointments.
- Promotions, Tenure, and Appointments Committee (PTAC): Serve as coordinator, managing PTAC membership, meeting materials, minutes, and reports for submission to PTAC and the Academic Affairs Committee (AAC).
- Stakeholder Reporting and Secretariat Duties: Prepare reports and presentations for key stakeholders, including the Executive Committee, AAC, Faculty Senate, and Ministry of Education (MOE), and manage ad hoc projects and secretariat duties as required.
- Line Management: Oversee the work allocation and performance appraisals of the Senior Assistant Manager, Faculty Matters.
- Bachelor's degree and at least 5 years of relevant work experience.
- Prior experience working in a university with faculty matters would be advantageous.
- Good problemsolving skills.
- Proactive and resourceful in initiating conversations with relevant stakeholders to identify and implement solutions.
- Strong analytical skills.
- Competent in sourcing and compiling data, extracting relevant and accurate information, and providing analyses or opinions to facilitate decision making.
- Ability to carry out desktop research on relevant policies and best practices, and help in drafting faculty governance policy papers, frameworks, rules and guidelines.
- Independent worker with strong followup and performs well in crossfunctional teams.
- Excellent interpersonal and relationship management skills.
- Strong oral and written communication.
- Familiar with MS Office applications and able to work with customised systems.
