Job Description

This role provides essential administrative support for the Graduate Research Programme, assisting in all stages from admissions to thesis submission and oral defence.

Duties & Responsibilities
The successful candidate will work closely with both faculty and students, ensuring smooth operations, efficient event planning, and logistical coordination, ultimately contributing to the success of the programme and its participants throughout the academic journey.

Admissions and Scholarships

  • Assist with the admissions process for graduate research programmes, from application to enrolment.
  • Coordinate and provide secretariat support for the admissions and scholarship committees.

Programme Administration

  • Support students throughout their journey, including milestone tracking, thesis submission, and defence coordination.
  • Provide administrative support to faculty and students, ensuring smooth operations across all stages of the programme.
  • Collate and maintain data for student performance, thesis progression research progress, course feedback, and quality indicators for reporting purposes.

Event Planning, Logistics, and Administrative Support

  • Plan and support office-related and student-focused events, including orientations, workshops, and networking sessions.
  • Assist with timetabling, booking facilities, and arranging logistics for assessments, thesis defences, and other activities.
  • Provide secretariat support for Education Office meetings, including agenda preparation, minute-taking, and follow-ups.
  • Undertake any additional duties as assigned by the Vice Dean (Education).

Qualifications

  • Hold a good basic degree from a recognised institution, with at least 2 years of relevant experience. Prior work experience in an educational institution will be advantageous.
  • Proficient in Microsoft Office applications such as Word, Excel and PowerPoint.
  • Pleasant disposition, meticulous, pro-active.
  • Able to multi-task and manage simultaneous deadlines.
  • Able to work independently as well as a good team player.
