Position Overview:
The HR and Admin Executive will assist to ensure that the department’s day-to-day operations are running smoothly; recruitment, payroll, admin and training.
HR Processes | Office Management responsibilities:
- Update Employee Handbook and Policies
- Prepare Contracts of Employment, review Salary offers (to be approved by GM)
- Execute and Support HR processes (includes Payroll, Hiring, Onboarding/ Exit processes, Performance Management, Objective Settings, Training and Development enrolment, FWA, follow through on MOM obligations, manage work pass/ foreign employment applications etc.)
- Consistently update and provide support in PDPA
- Submission of statistics & report to government bodies
- Processing & applying available grants with relevant Government departments
- Assist in organizing company events & activities
- Handle contracts and renewals
- Organize and maintain files on all insurances, patents, licenses, certifications and trademarks
- Manage office efficiency and cost relating to: office stationery, pantry requisition, cleaning service and office equipment procurement
- Maintain the office & equipment condition & proactively coordinate necessary maintenance & repairs in partnership with Production Supervisor
- Liaise with all facility management vendors (including cleaning, security services, building maintenance)
- Source, negotiate, select and manage list of preferred vendors for all offices & shops
- Ensure Health & Workplace Safety standards are met
- Support IT related matters (at HQ & retail shop), as point of contact, maintaining back-up & disaster recovery plan
