This advertisement is recruiting for the position of Receptionist cum Admin Assistant.
If successfully selected, you will be seconded to MOE secondary school located in Upper Serangoon.
Contract Period: from 2 Jan 2025 to 14 Nov 2025 or after the issuance of LOA whichever is later.
Personnel to be deployed at the following hours:
- Work Hours - Total 42.5 hours per week
- Mondays to Fridays: 8:00am – 4.30pm, inclusive of 1 hour lunch break
- Service not required on Saturdays, Sundays and gazetted public holidays and school holidays in November and December and on the following days: Eve of Chinese New Year, Thanksgiving and Award Presentation Ceremony (TAPC): Youth Day: eve of National Day, eve of Teachers’ Day and Teachers’ Day.
The service required are set out as follows :
- To assist the Administration Manager (AM) / School Leaders in the day-to-day operation of the school front counter, in general administration and in the school’s service excellence initiatives to achieve positive customer relations and satisfaction level.
The Personnel’s duties and responsibilities include:
- Handle phone calls, walk-ins and general enquiries from parents, students and members of the public.
- Render first level assistance to walk-in students’ needs including sick and injured students. To escalate case to other colleagues in the office immediately if it is beyond superficial cases.
- Communicate with teachers regarding parents’ messages from phone calls or walk-in patents.
- Manage items on loan and/or for collection as assigned by the Admin Manager or VPA.
- Manage stock of spare uniforms, office stationeries and pantry items.
- Manage snail mails as instructed by Admin Manager or VPA.
- Assist in the counting and sorting / distribution of brochures or leaflets / items to the teachers and students.
- Maintain stock of first aid supplies.
- Maintain the forms in General Office (ensure forms are current and replenished timely).
- Maintain tidiness of the reception area at all times.
- Any ad-hoc admin duties assigned by the School Leaders / AM.
- The personnel is required to sign an undertaking to safeguard official information.
- To perform any other as assigned by SH / HOD overseeing the department.
The personnel shall minimally have the following qualifications, skills and experience:
- Academic qualification: at least GCE ‘N’ Level.
- At least 2 years of relevant work experience.
- Pleasant disposition and people-oriented.
- Good communication skills and ability to work in a team.
- Fluent in English language and a Mother Tongue language, preferably Mandarin.
- Working knowledge of Microsoft Office applications.
- Prior work experience with students in schools will be an added advantage.
- First Aid Certification will be an added advantage.
