Executive Secretary (Japanese Company)

Responsibilities

  • Provide secretarial and administrative support to management board, including scheduling meetings, managing calendars, and handling correspondence.
  • Facilitate communication between the executive and stakeholders, including translating and interpreting as needed.
  • Prepare reports, presentations, and documents.
  • Coordinate travel arrangements, including flight bookings, accommodation, and visa applications.
  • Act as a liaison with internal and external parties, maintaining confidentiality and professionalism.
  • Organize and maintain office files, records, and documentation.
  • Support the planning and execution of meetings, events, and conferences.
  • Perform other administrative tasks as assigned to ensure smooth office operations.
  • Ad hoc duties as assigned.

Requirements:

  • Bachelor or Diploma in Business Administration, Private Secretarial or equivalent
  • At least 3 - 5 years of secretarial/ personal assistant experience, preferably with experience liaising or working with Japanese counterparts
