Project Administrator/ Document Controller

JD:

Support Project Management: Assist project managers and teams by performing administrative tasks such as scheduling meetings, preparing minutes of meeting, preparing reports, and managing correspondence with stakeholders.

Financial Tracking: Help with tracking project budgets, processing invoices, and managing purchase orders to ensure financial accountability.

Procurement Request and Tracking: Raise procurement request and track the procurement process up to issuance of Purchase Order.

Resource Allocation: Assist in the allocation and tracking of resources and equipment needed for project completion.

Document Management: Develop and implement processes for the control, distribution, and storage of project documentation, including plans, reports, drawings, and correspondence.

Version Control: Maintain version control of project documents to ensure that the latest updates are accurately recorded and disseminated to relevant stakeholders.

Record Keeping: Create and maintain a comprehensive database for all project-related documents to ensure quick retrieval and secure storage.

Quality Assurance: Check documents for accuracy, completeness, and compliance with project standards and specifications.

Distribution and Access: Manage the distribution of documents to project team members and stakeholders, ensuring that they have access to the latest information.

Document Handover: Compile document in necessary format and handover to stakeholders and end users such as operation and maintenance team.


Requirement:

• Diploma / Degree in any discipline

Experience: Previous experience in an administrative role or document control, preferably within a project-based environment of at least 2 years.

Technical Skills: Proficiency in document management systems, such as Microsoft Office and Google platforms.

Organizational Skills: Exceptional organizational and multitasking skills to handle multiple project tasks efficiently.

Communication Skills: Excellent written and verbal communication skills for interacting with project team members and stakeholders.

Attention to Detail: A keen eye for detail to ensure accuracy and completeness of documents and project records.

Problem-Solving Skills: Ability to identify issues, analyze information, and develop effective solutions.
