Job Description for Administrative Support Personnel
Administrative
- Coordinate and prepare for meetings, including putting up and circulating the agenda,cbooking of meeting space.
- Assist with note taking and following up on action items to ensure completion according to agreed timeline.
- Maintain and update all documentation in shared drive as and when necessary.
- Support the SCRP Team by sourcing, vetting and coordinating with vendors and suppliers or as directed by the Senior/Manager of SCRP
- Coordinate with Research Team, to help ensure deliverables are completed within timeline.
Events Management & Support
- Work with SCRP to assist with organizing webinars / seminars, workshops and conferences. This includes but is not limited to
- Designing and distributing EDMs and invitations
- coordinating with speakers / guests
- managing event registration and tracking attendance
- collecting and compiling of event feedback
- following-up with attendees for any various requests
- Providing secretariat support by
- Answering and replying to delegate emails
- Assisting and following through with delegates on their queries
- work with the University's appointed vendors to make travel and accommodation arrangements
- Staffing secretariat at ICCS including
- Assisting speaker and delegate management
- Co-ordinating with OIA and Rapporteur Teams
- Work with internal (RSIS) and external (MCCY) stakeholders to ensure smooth delivery of conference
- Work with appointed vendors as necessary
The ideal candidate should be proficient with Microsoft Office Programmes such as Outlook, Word, Excel and Powerpoint. He/She should have a good command of the Language and have strong verbal and written communication skills. The candidate should also be able to multi-task and work in a fast-paced environment.
This position is 100% office-based. Some work experience in a similar role is preferred. Some overtime is required.
