Responsibilities :
1. Executive Secretarial Duties (80%)
- Prepare and manage documents, reports, and correspondence.
- Organize and coordinate meetings, conferences, and travel logistics (including flights, accommodation, and transportation).
- Manage calendars, schedule appointments, and handle event coordination.
- Oversee internal and external communication, including emails and mail.
- Serve as a point of contact for inquiries and manage the flow of information within and outside the organization.
2. Sales Planning Support (20%)
- Prepare materials for sales meetings and consolidate forecasts.
- Maintain and update customer and user databases.
- Monitor sales opportunities and generate status reports.
- Assist in creating and managing digital content, including website updates and sales tools.
- Support planning and execution of events such as seminars, exhibitions, and webinars.
- Arrange and monitor email campaigns, social media, and online advertisements.
Requirements :
- A minimum of 3 years of experience in a similar secretarial or administrative role.
- Proficiency in Microsoft 365 applications, including Outlook, Teams, Excel, and PowerPoint.
- Strong verbal and written communication skills in English and Japanese to coordinate with counterparts in Japan.
- High level of security awareness and information literacy.
- Exceptional attention to detail and a proactive approach to supporting the team.
- Excellent interpersonal skills to collaborate effectively with internal and external stakeholders.
