Responsibilities:

  • Coordinate office activities and ensure smooth daily operations.
  • Maintain office supplies, ensure proper inventory levels, and manage purchasing.
  • Organize meetings, appointments, and travel arrangements for staff or management.
  • Maintain and manage calendars, ensuring no scheduling conflicts.
  • Handle incoming and outgoing communication, including emails, phone calls, and postal mail.
  • Draft and proofread correspondence, memos, and reports.
  • Maintain and organize physical and digital files, ensuring easy access and retrieval.
  • Assist in preparing presentations, reports, and meeting agendas.
  • Help plan and coordinate office events, conferences, and meetings.
  • Arrange logistics for events such as room bookings, catering, and equipment setup.
  • Act as a point of contact for clients, visitors, and vendors.
  • Manage relationships with external parties and support contract and procurement activities.
  • Assist with HR-related tasks, including onboarding and documentation for new hires.
  • Provide general support to other departments as needed.
