Position Overview:
The Project Administrator will be responsible for supporting the general administration and smooth operation of the project office. The role will assist the Project Manager in implementing PMO procedures throughout the project lifecycle and monitor project performance to ensure efficient and timely delivery of project objectives.
Key Responsibilities:
Project Administration:
- Assist the Project Manager in implementing and following PMO processes and procedures throughout the project lifecycle.
- Support the regular reporting of project status to internal stakeholders.
Meeting Coordination:
- Organize, initiate, and attend project meetings.
- Ensure that all project team members are well-informed about project progress, tasks, and responsibilities.
- Take meeting minutes when required, and distribute them to relevant parties.
Document Management:
- Assist in gathering, consolidating, and reviewing project documentation, including team member CVs, notebook requirements, and clearance forms.
- Ensure timely submission of documents to the appropriate authorities.
Onboarding & Offboarding:
- Manage the onboarding and offboarding of project team members.
- Track the assignment and movement of project notebooks and other necessary equipment.
Logistics Support:
- Provide logistical assistance for project operations as needed.
- Ensure that all materials, equipment, and resources are available to the project team.
Communication & Language Proficiency:
- Facilitate clear communication among project team members and stakeholders in both English and Mandarin.
- Maintain professionalism in written and spoken communication.
Compliance & Data Protection:
- Ensure knowledge and adherence to the Personal Data Protection Act (PDPA) regulations.
- Maintain confidentiality and secure handling of sensitive data and information.
Travel Requirement:
- Willingness to travel as required to support project needs and activities.
Skills & Qualifications:
Language Skills:
- Due to the nature of the project, proficiency in both written and spoken English and Mandarin is essential to effectively communicate with specific stakeholder groups. .
Project Management:
- Strong organizational skills and ability to assist in project administration and logistics.
Communication Skills:
- Strong verbal and written communication skills in both English and Mandarin are vital, given the nature of the work.
Attention to Detail:
- Ability to track and manage multiple documents and tasks.
Knowledge of PDPA:
- Familiarity with Personal Data Protection Act (PDPA) regulations is a plus.
Proactive:
- Strong initiative, results-oriented, and a commitment to maintaining high-quality standards.
Travel:
- Flexibility to travel as required for project-related activities.
Education:
- Degree in Business Administration, Project Management, or related field (preferred).
