IMMEDIATE VACANCY


Our client aims at creating a new manufacturing concept consisting of a new generation of evolutive multi-product facilities, modular, adaptable, and agile, leveraging new disruptive technologies, to better address vaccine business challenges


Responsibilities:

Sales & Marketing Support – 85%

  • To provide general Sales & Marketing administrative support to the assigned Business Unit(s) and/or department(s).
  • Manage events including raising of purchase order, submission of documentation and co-ordination of payment process using internal systems.
  • Effectively manage documentation and filing of communications, materials, reports and documents to support ease of retrieval and sharing of information within the admin team
  • Manage external storage with suppliers, including shipment arrangement, stock check and restock.
  • Assists in team members’ onboarding and offboarding
  • Manage SharePoint for the team


Calendaring and logistics arrangement – 15%

  • Manage Head of Department appointment schedule and calendar by effective planning and scheduling of meetings, conferences, teleconferences, and travel.
  • Support travel arrangements (e.g. hotel, air travel booking, ground transportation, visa application, etc.) and process expenses for Head of Department
  • Provide organization and administrative support for and during meetings (as required)
  • Maintain updated country organization charts, contact lists and distribution lists
  • Provide support on any ad-hoc assignments as required from time to time.



Requirements

  • Minimum 5 years’ experience in supporting senior manager or above. Prior experience in managing events in healthcare industry
  • Strong planning, organising, co-ordination and follow- up skills
  • Ability to maintain information with discretion and diplomacy
  • Proficient in Microsoft Office
