Main Responsibilities.

Assist the Chief Accountant to handle full sets of accounts. Ensuring accounting records of AR and AP are maintained accurately, efficiently and timely manner.

Accounts Payable (AP) Related Tasks

1. General Ledger Maintenance:

• Ensure all postings to the hotel’s Sun System general ledgers are supported by properly authorized and documented journal vouchers.

2. Reconciliation:

• Review balance sheet schedules, bank reconciliation statements, and control account reconciliations for month-end closing.

I. Duties and Responsibilities

● Implement internal control procedures and quality management systems to enhance the

efficiency and effectiveness of operations across various departments and programs.

● Conduct regular internal audits and quality assessments to evaluate compliance with

organisational policies, procedures, and regulatory requirements.

● Identify areas of improvement and recommend corrective actions to address deficiencies in

internal controls, operational processes, and service quality.

● Collaborate with departmental managers and staff to implement audit recommendations,

monitor progress, and ensure timely resolution of issues.

● Provide training and guidance to staff on internal control procedures, quality standards, and

compliance requirements.

● Monitor key performance indicators and quality metrics to track performance trends, identify

emerging risks, and drive continuous improvement initiatives.

● Prepare comprehensive internal audit reports and quality assurance documentation

summarising findings, recommendations, and action plans for improvement to Internal

Control and Quality Manager.

● To ensure that the organisation stays informed about industry best practices, regulatory

changes, and emerging trends in internal auditing and quality management.

● Foster a culture of accountability, transparency, and continuous improvement throughout

the organisation.

II. Monthly and Yearly Report

● Assist in compiling data and preparing monthly Council Reports for presentation to the

Board or relevant stakeholders, submit to Internal Control and Quality Manager.

● Assist in compiling data and preparing the Annual General Meeting Council Report for

presentation to the Board or relevant stakeholders, and submit to Internal Control and

Quality Manager.

III. Budget Preparation

● Assist in gathering information, analysing financial data, and preparing documents for the

yearly budget planning process for the Audit & Risk Department.

● Collaborate with the Finance Department and other relevant stakeholders to develop the

annual budget based on organisational goals and financial forecasts.

IV. General

● Provide administrative support to MTFA events, if required.

● Perform any duties as assigned by the Internal Control and Quality Manager, Deputy

Director and/or Executive Director.

● Work closely with all departments of MTFA (Including Darul Ihsan Orphanage, Ihsan Living,

Ihsan Casket, Ihan Aid, Ihsan Kidney Care and other subsidiaries).

● Travel to various MTFA branches, its subsidiaries, or other relevant locations to support

audit, quality assurance, and reporting activities as required.

V. Qualifications

● Bachelor's degree in accounting, finance, business administration, quality management, or a

related field.

● Minimum of 2 years of experience in internal auditing, quality assurance, or a related field,

preferably in a non-profit or healthcare environment.

● Strong understanding of audit principles, quality management principles, and regulatory

requirements.

● Excellent analytical, problem-solving, and critical thinking skills.

● Exceptional attention to detail and accuracy in work.

● Excellent communication and interpersonal skills, with the ability to effectively interact with

stakeholders at all levels of the organisation.

● Proficiency in Microsoft Office applications.

Accounts Payable (AP)

• Process AP postings, invoices, payments, and fixed asset master data accurately.
• Ensure timely payments, refunds, and proper documentation.
• Reconcile vendors’ statements and ensure prompt invoice processing.
• Prepare and monitor AP reports (bank reconciliation, AP Aging, balance sheets).
• Track open transactions (invoices, budget requisitions, purchase orders).
• Manage vendor creation and maintenance in the system.
• Act as the main contact for vendor and staff payment-related queries.
• Process ad-hoc payments and send payment advice to vendors.
• Guide staff on AP processes and improve efficiency.
• Reconcile credit card statements and ensure approvals.
• Perform month-end ledger reconciliation and manage document filing.

General Ledger

• Maintain accounts and financial reports for designated activities.
• Prepare journal vouchers for internal and intercompany charges.
• Capitalize fixed assets for Capex and construction projects.
• Coordinate with internal and external auditors.

Cash Handling

• Administer, distribute, and reconcile petty cash and cash advances.
• Ensure timely monthly reconciliation and policy compliance.
• Prepare and reconcile weekly and monthly petty cash reports.
