Responsibilities:

Personal and Administrative Support:

• Assist with personal and business-related tasks, including travel planning, itinerary management, bookings, and document handling.
• Organize and manage luggage packing and unpacking for business trips.
• Prepare and submit expense reports proficiently using Excel.
• Handle visa applications, tax filings, and related administrative tasks for various countries.
  

Office Tasks:

• Draft, edit, and manage documents in Word, Excel, PowerPoint, and ChatGPT.
• Coordinate schedules and appointments.
• Support daily operations both personally and professionally with meticulous attention to detail.

Travel Requirement:

• Frequent business travel is required, averaging monthly trips to locations such as Hong Kong, Japan, and other parts of Asia.
• Occasional travel to the United States (1-2 times per year).
• Majority of the work will be remote from Singapore when not traveling.
  

Requirements:

• Singapore citizen.
• Fluent in both Chinese and English (written and spoken) to effectively communicate with Chinese-speaking clients.
• Strong proficiency in Microsoft Excel, Word, PowerPoint, and ChatGPT.
• Proven work experience as a Personal Assistant (PA) or in a related field.
• Flexible schedule and willingness to travel extensively.
• Highly organized, detail-oriented, and thorough in task execution.
• Proactive with excellent problem-solving and planning abilities.
• Possesses a positive “can-do” attitude and a calm, approachable demeanor.

JOB DESCRIPTIONS AND RESPONSIBILITIES:

• To coordinate with Quality Department to create new Job Enquiries and generate Job/Project numbers in Netsuite.
• Prepare job folders for documentation of daily receipt notes from Transport Dept in close coordination with Quality department, Inspection reports and liaise with Technical Director to compile and issue the final Job quotation.
• Responsible for receiving new order confirmation from customer via email and update in Netsuite Database system.
• Retrieve job folders from AWC status with required documents such as PO prior submit to technical manager for his review.
• Updating in Netsuite system for the status of components, current process, new job order confirmation and any changes of delivery schedule twice a week and generate production schedule from Netsuite system.
• Issuance, Compiling of Delivery Order for completed jobs and obtain endorsement from customer.
• Provide support to Quality department to prepare the inspection reports based on the Raw
• data provided by Quality Engineer/technician
• Download Raw data from Netsuite about the ongoing job status for weekly and Monthly reports.
