Executive-Secretary cum Admin Manager

Salary: 5700 – 6000 with AWS and VB

Working day: Mon -Fri

PA support to Executive-Chairman & CEO

· Support EC & CEO on calendar management, coordinate appointments, meetings and teleconferences.

• All necessary travel arrangements and ensuring to adhere to the company travel policy and budget
• Administrative support including filing of expenses claims

- Good initiative and common sense in general housekeeping and operational matters. (e.g. reminding directors to fulfil statutory requirements after a certain corporate action.)
- Demonstrated problem-solving skills and a proactive approach to tasks.
- Excellent multitasking and organizational skills with attention to detail and accuracy, able to prioritize tasks effectively.

Office Management:

· Maintenance and upkeep of the office - Manage subcontractors on maintenance, cleaning etc and coordinate services with building management and/or landlord.

· Manage contract and performance of cleaning contractor, ensure the cleanliness of the entire office.

· To be the person supporting office renovation, relocation, refurnishing if any, including the office space allocation, etc.

· Maintain and the renewal of service agreements for office equipment.

· Supporting in welcoming guests in office, upkeep of the meeting room, pantry telephone and office supplies.

Job Requirements:

· Preferably a minimum of 5 years of experience in the areas of business travel, admin, ops or office management.

· Open to mid-career individuals

· Proven ability to communicate effectively and work cohesively within a fast and high performing team.

· Good eye for details with a “hands-on” and “can-do” attitude.

· Proven ability to work independently and meticulously in a fast-paced environment.

· Positive mind-set with the ability to work with flexibility and adaptability

· Tech savvy with a strong proficiency in MS PowerPoint and Excel skills.

Job Description

Provide & handle administrative support to HR department.

Employees’ personal data file up keeping

Courses registration & pass applications and update record accordingly

Assist in Payroll & claim preparation

Manage daily administration, documentation, and coordination.
Liaise with external parties such as consumers, contractors and supplier

Job Requirements

At least 2 – 3 years of experience in HR related field & office administration or a similar role.

Good organisation and planning skills

Positive work attitude and display initiative in problem solving

Able to work independently and multi-task efficiently

Proficient in Microsoft office

Ability to maintain confidentiality and handle sensitive information with discretion.

Meticulous and have an eye for details

Able to commence work immediately or within short notice

Job Responsibilities:

• Managing the Executive Directors' calendar and making travel arrangements
• Organise board meetings and ensure relevant documents are distributed to the Directors
• Liaising with the Board of Directors on meetings and announcements
• Liaising with company secretary on ACRA filing, meeting minutes, resolutions, annual report and corporate secretarial document
• Support the Chairman/CEO by following up on the administrative actions
• Assist the Executive Directors in submitting the claims and expenses for reimbursement
• Involving in drafting corporate policies and ensuring proper implementation
• Handle corporate confidential documentation and maintain proper filing of documentation
• Managing company website ensuring the announcements are updated
• Organized company events when required
• Other ad-hoc duties as requested by the Management

Job Requirement:

• Bachelor’s degree in Secretarial/Business Studies or equivalent with at least 3 years relevant working experience, prefably in public listed company
• Discretion and trustworthiness
• Able to start on a short notice
• Effectively bilingual with good command of spoken and written English and Mandarin. (To communicate and liaise with Chinese speaking overseas and local counterparts)
