Job description
Administrative Job Responsibilities
- Handling Point-Of Sales System. Administering, updating and maintaining the record by keying in the sales report, checking invoices, data entries on stocks, maintain inventory supply and etc.
- Carry out, compiling, collating, filling, maintaining and updating of on-going promotions details, forms and etc.
- Compile data, prepare reports and other documents.
- Replenish office / outlet daily supply including sourcing of supply to ensure smooth operations in the company.
- Sourcing for products, compare prices and purchase according to specifications as provided.
- Coordinate and follow-up closely on outstanding purchase orders, delivery schedule and supplier payments.
- Maintain accurate suppliers’ list, record of purchase and product prices
- Inspect all new products received, perform quality checks, report defective goods and follow up on product feedback.
- Liaise with suppliers and internal staff for procurement and related matters.
- Perform stock taking to all outlets including HQ on a monthly basis.
- Receiving, unpacking, packing and labelling of products and arranging for weekly deliveries.
- Provide clerical and administrative duties to management which includes managing of work calendar, preparation of letters and other correspondences.
- Any other ad hoc duties or administration matters assigned.
Human Resource Job Responsibilities
- Create staff ID for new hires.
- Register employees for various training courses and apply training grants as well as any other grants specified by the company.
- To compile and analyze monthly HR reports, such as staff attendance reports, staff lateness reports and etc.
- Maintain employees’ personal files with updated records & documents.
- Engage and organize company events, gatherings and retreats for staff.
Admin – 40 %
Inventory – 40%
HR – 20%
Job Requirements:
- At least 3 years of experience in admin or related functions
- Applicant who is well-versed with e-commence platforms like Taobao, Shopee, EZbuy or Q10 will have an added advantage
- Able to communicate in Chinese and English.
- Proficient in Microsoft office
- Meticulous and good in communication skill
- Good negotiation skill
