Your next opportunity
As the Personal Assistant (PA) to the Managing Director (MD), you will be instrumental in providing comprehensive secretarial and administrative support, ensuring seamless operations for the MD.
This role serves as the right hand to the MD, managing a diverse range of responsibilities crucial to the MD's effectiveness and the overall success of our company.
Key Responsibilities:
Secretarial support
- Acts as the first point of contact between MD and internal/external stakeholders, coordinate and manage the MD's calendar, including appointments, meetings, and travel arrangements
- Prioritise and schedule the MD's events, including arranging leaves, coordinating meetings, and blocking slots on relevant calendars
- Proactively arrange logistics (documents, equipment, transport, etc.) and secure meeting venues in advance
- Attend meetings with the MD when required, taking precise meeting notes and minutes, ensuring effective follow-up on action items
- Manage all aspects of the MD's travel plans and itineraries, including reservations, accommodations, visa applications, and related arrangements
- Provide comprehensive personal assistance, handling both personal and business matters such as reservations and executing assigned errands
Administrative Support
- Manage day-to-day administrative tasks, including data entry, expense tracking, claims submission, insurance renewals and relevant
- Create, organise, and maintain files, documents, and records (both business and personal) for the MD, ensuring confidentiality and accessibility
- Proactively anticipate the MD's needs, offering advice, and recommending options for smooth operations
- Keep the MD informed of time-sensitive and high-priority issues, ensuring timely follow-up
- Draft emails, letters, and speeches, and creating or modifying templates as needed for the MD
- Proofread documents for both internal and external stakeholders, ensuring accuracy
- Review the completeness of documentation/information submitted to the MD
- Travel with the MD for overseas meetings/assignments when required
Qualifications Requirements:
- Proven track record and experience as an Executive Assistant or Personal Assistant to a C-suite executive, or relevant position
- Demonstrated discretion and sound judgment; with the ability to handle sensitive and confidential information professionally
- Strong organisational and time-management skills, with the capacity to multitask and prioritise effectively
- Excellent verbal and written communication skills, emphasising confidentiality and professionalism
- Proficiency in IT tools and software (Microsoft Office, calendar applications, etc.)
- High level of attention to detail and accuracy in all tasks performed
- Strong interpersonal skills and the ability to build relationships with stakeholders at all levels
