We are seeking an organised and proactive Personal Assistant cum Sales Admin to support our team. If you are strong in administrative tasks, streamline operations, and act as the first point of contact, ensuring the smooth execution of day-to-day activities., this is the opportunity for you!

Key Responsibilities:

• Administrative Support: Manage correspondence, including emails, phone calls, and inquiries, and handle confidential documents.
• Schedule Management: Plan, organize, maintain and remind the Director’s calendar, including appointments, meetings, and events.
• Travel Coordination: Arrange travel itineraries, book accommodations, and provide logistical support.
• Meeting Assistance: Prepare agendas, take meeting minutes, and follow up on action items.
• Personal Tasks: Run errands, manage personal requests, and assist with day-to-day activities as needed.
• Document Preparation: Draft, edit, and proofread documents, reports, and presentations.
• Task Prioritization: Manage multiple tasks and deadlines with efficiency and attention to detail.
• Sales Admin: Provide administrative support on pre and post sales matters for the Director.
• Other ad-hoc duties whenever required.

Requirements:

• Educational Background: Diploma or degree in Business Administration, Communications, or a related field (preferred).
• Technical Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
• Communication Skills: Great written and verbal communication skills with a professional demeanor.
• Organizational Skills: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
• Discretion and Confidentiality: Trusted to handle sensitive information with integrity.
• Adaptability: Willingness to take on diverse responsibilities and work flexible hours as needed.
• Good to have - Experience: At least 1 year experience in a similar role as a Personal or Executive Assistant or Sales Executive

Join Our Team as an Administrative Assistant
We are seeking a highly organized and proactive Administrative Assistant to support our team and ensure smooth day-to-day operations. If you excel at multitasking, communication, and maintaining a well-organized office environment, this role is perfect for you!

Key Responsibilities:

• Administrative Support: Assist in planning and coordinating schedules for drivers, the sales team, and customers.
• Communication Management: Answer and manage incoming calls, emails, and other communications, acting as a liaison between management and staff to relay information, requests, and directives.
• File Management: Maintain organized office files, both electronic and hard copies, and develop a filing system for easy retrieval of documents.
• Confidentiality: Handle sensitive information with discretion and ensure confidentiality.
• Office Organization: Oversee office supplies, ensuring the office is well-stocked and organized, and handle office equipment maintenance by coordinating with vendors for repairs and services.
• Task Assistance: Support other administrative tasks such as managing timesheets, tracking jobsites, and monitoring project timelines and deliverables.
• Operational Efficiency: Track project timelines, follow up on pending tasks, and provide timely updates.

Requirements:

• Educational Background: High school diploma or equivalent; Associate’s or Bachelor’s degree is preferred.
• Experience: Proven experience as an administrative assistant or office admin assistant.
• Technical Skills: Proficiency in MS Office, particularly Excel, Word, and PowerPoint.
• Time Management: Strong time management skills with the ability to prioritize tasks effectively.
• Attention to Detail: Exceptional problem-solving skills and attention to detail.
• Organizational Skills: Ability to multitask and maintain strong organizational practices.
• Communication Skills: Excellent written and verbal communication abilities (Mandarin proficiency is a plus).

Work Schedule:

• Working Days: 5.5 days per week.
• Working Hours: Monday–Friday, 9:00 AM–6:00 PM; Saturday, 9:00 AM–1:00 PM.
