Job Description

• Conduct lessons according to our pre-school curriculum and enrichment programme.

• Carry out progress monitoring of children.

• Classroom management and maintaining a pleasant learning environment.

• Setting up learning corners.

• Carrying out routine care duties.

• Organizing and participate in centre events.

• Ensuring the safety and hygiene of children.

• Work closely with other teaching staff in the class in carrying out the duties.

• Build and maintain close partnership with parents.

• Assist in other ad-hoc duties or initiatives.

Requirements

• Certificate in Infant/Toddler Care & Development (CIT) / Higher Certificate in Infant Care (HCIC) / Advanced Certificate in Early Years (ACEY)

• Candidates who are currently undergoing HCIC/ACEY are welcome to apply

• Preferably with relevant experience in teaching infant and toddlers.

• Assist the main teacher in the classroom management for completion of school homework / testing of spellings / marking of Assessment books
• Assist the team in providing holistic service to the students during mealtimes, recreational activities, art & craft activities.

Working hours - 1pm to 5.30pm (Mon to Fri).

May work any number of fixed workdays if unable to work 5 weekdays.

General Administrative Tasks

• Office Management: Overseeing the day-to-day operations of the office, ensuring it runs efficiently.
• Scheduling: Managing calendars, scheduling meetings, appointments, and travel arrangements.
• Correspondence: Handling incoming and outgoing communications, including emails, phone calls, and mail.
• Documentation: Preparing, organizing, and maintaining documents, files, and records.
• Data Entry: Entering and updating information in databases and maintaining accurate records.
• Customer Service: Serving as a point of contact for centre and parents, providing assistance and information as needed.
• Project Assistance: Supporting various projects by performing research, compiling data, and preparing reports.
• Office Supplies Management: Monitoring and ordering office supplies to ensure adequate stock.
• HR Support: Assisting with HR tasks such as maintaining employee records, onboarding new staff, and coordinating training sessions.
• Marketing Support: Assisting with marketing activities, such as social media management, content creation, and campaign tracking.

JOB RESPONSIBILITIES

1. Childcare fees and record of payments

(a) Collects childcare fees from parents at the end or beginning of the month

(ensure that all fees are collected before the 5th of each month)

(b) Ensures that parents pay their fees promptly

(c) Maintains proper and accurate record of all payments

2. New Enrolment

(a) Assists the Principal to contact parents for registration and handle parents’ enquiries

(b) Assists the Principal to call up parents on waiting list (periodically)

(c) Assists and ensures that parents fill all the necessary forms and submit all essential documents as required by ECDA

(d) Verifies all photocopied documents submitted by parents against the original copies (child’s birth certificate, parents’ NRIC, marriage certificate etc.)

(e) Ensures that all information and documents required by ECDA for enrolment via Child Care Link are complete, in order and submitted on time.

3. ECDA Matters

(a) Counter-checks and verifies that all ECDA Forms (application for admission, parents’ particulars, application for government subsidy etc) are duly completed and signed.

(b) Counter-checks and verifies that the monthly ECDA GSII Report is in order. Any discrepancies to be reported to the ECDA officer immediately, followed by a letter stating the details.

(c) Ensures that all new enrolment, withdrawals, notification of changes must be submitted via Child Care Link followed by hard copies forwarded by mail.

4. Filing & General Administration

(a) Maintains accurate administration records for child enrolment, withdrawal and parent subsidy claims

(b) Assists in placing of orders in advance for food items (snacks for breakfast, tea), perishable and non-perishable items from Suppliers

(c) Prepares and displays up-to-date menu at the Parents’ Notice Board and Kitchen

(any deviations / changes in menu, to be logged down immediately)

(d) Prepares and submits daily marketing list, petty cash claim forms, and other expenses

(e) Prepares approval memos, advice payment vouchers, medical and dental reimbursements

(f) Prepares and photocopies of correspondence/notices to parents and any other materials when required

(g) Conducts monthly stock check on items such as uniforms, stationery, toiletries etc

(h) Maintains a well-organised, tidy and clean office

(i) Undertakes any other duties as assigned by the Principal from time to time

JOB REQUIREMENTS:

• Candidates should possess at least GCE ‘N’ Level or GCE ‘O’ Level qualifications
• Minimum 1-3 years relevant experience
• Proficient in Ms. Office
• Able to work independently as well as team
• Bilingual Chinese and English
