• Designing and developing: Designing, developing, installing, managing, and maintaining equipment for monitoring and controlling engineering systems
• Ensuring safety: Ensuring that systems and processes operate effectively, efficiently, and safely

The main task of this role is to provide administrative support, including the processing of invoices and payments to vendors, communication with customers and vendors, and other office management duties.

Responsibilities

• Collect, collate and follow-up on billing & payment including raising Purchase Orders, invoicing & payments
• To handle and manage Xero Accounting Software
• Ensure all documents are properly saved, filed/uploaded into the correct adviser’s/client’s folder.
• Handle calendar management and scheduling of meetings
• Monitor and arrange for execution of documents
• Assist with training registration and maintain training register and database
• Build and maintain good working relationships across all levels of personnel, internally and externally
• Responsible in payroll process, claims expenses, and other related matters
• Liaise with the external auditor and tax agents
• Process work pass application, renewable and cancellation
• Liaising with customers and vendors to make the necessary rearrangements whenever needed (e.g. during vehicle breakdown or delay due to heavy traffic)
• Undertake other duties and responsibilities as assigned, including any ad hoc assistance required for other staff members and answering queries from advisers

Requirements

• Minimum 2 years working experience as secretary/administration support or other related roles
• Interest in the transport industry
• Strong coordination, interpersonal, organization and time-management skills
• Customer service orientated, attention to detail, highly responsible
• Excellent in written and communication skills for English (and ability to communicate in Mandarin with our Chinese drivers)
• Proficiency in MS Office and be tech savvy to handle other applications/software that we will provide initial training for
• Ability to learn quickly and is capable of working independently in a lean team

Tasks & Responsibilities:

-Daily scheduling of work for technicians

-Preparation of quotations and servicing contracts

-Develop and carry out an efficient documentation, filing system, scanning and photocopying for both paper and electronic records

-Handling of customers enquiries and feedback

-Liaising with suppliers and checking of equipments/parts stock

-Other small duties in between when necessary

Requirements:

-Competency in MS Office

-Able to converse in Chinese and English

-Able to write in English

-Commit to a 5-day work week (9-6pm)
