You will provide administrative support to the medical and secretarial staff of the Department of Cardiothoracic Surgery.

Your administrative duties will include typing, filing and photocopying of medical reports and other official documents, coordinating meetings and taking minutes, as well as arranging the logistics for doctors’ overseas conferences. In addition, you will assist the doctors in projects management, coordinate their undergraduate teachings and weekly educational activities, and help in other duties as assigned by your supervisor.

Job Requirements

• Diploma in Business Administration or equivalent with at least 2 years’ relevant working experience, preferably in the healthcare sector

Job Description:

• Booking of meeting rooms, setting up of virtual meetings with the contractors on a weekly and bi-weekly basis.
• Coordinating the administrative processes to obtain permits/approvals from the relevant agencies for the contractors to conduct any survey works.
• Assist the organization with the tracking of progress and deliverables of the contractors.
• Overseeing contractors while they are conducting geophysical survey works.
• Draft notes of meetings for discussions involving contractors.
• Provide support in drafting approval papers.

Purpose of the Role:

Reporting to the Manager of Welfare Services, you shall provide daily administrative/logistics support on SCS Transport Services and SCS Financial Assistance schemes.

Key Responsibilities:

1) Provide administrative/logistics support for SCS Transport Services

· To attend to telephone/walk-in clients when required

· To create applicant’s profile in LEAP

· To prepare letter of approval/rejection to applicants

· To prepare daily transport schedule

· To process payment/claims

· To track and monitor vans usage and prepare monthly/MSF reports for submission.

2) Provide administrative support for SCS Financial Assistance Schemes

· To attend to telephone/walk-in clients when required

· To create applicant’s profile in LEAP

· To prepare letter of approval/rejection to applicants

· To assist in the coordination of activities/programmes

· To process hospitals and clinics’ bills/invoices

· To assist in extracting reports from Leap for reporting and/or data analysis

3) Provide administrative support in TenderBoard

Key Requirements:

· Minimum GCE ‘O’/’N’ or equivalent

· Preferably with relevant experience

· Basic customer or patient services skills

· Positive attitude, good communication and strong interpersonal skills

· Proficient in MS Office Excel

· Basic letter writing/email, minutes and notes taking.

· English and a second language (ability to speak dialect will be beneficial)
