Role and Responsibilities
- Keeping track of attendance & leaves of employees and report it to HR.
- Update on daily basis those on MC/Leave/Training/Travelling/ meeting.
- To meticulously orchestrate a series of events and adeptly coordinate all requisite arrangements throughout the year.
- Responsible for local purchase and inventory of workshop.
- Accountable for all admin work of workshop like House Keeping, Security, Pest Control, CCTV, maintenance of AC & other office equipment’s, Water dispenser, Stationery, Dispatch, Pantry & other Vendors.
- Ensure the proper service of connectivity’s like internet, telephone and mobile services.
- Liaise with cleaning company and TOLL management office.
- Liaise with local IT supplier and HQ IT TEAM on internet issue.
- Liaise with Insurance on Medical claim.
- Ensure office Safety (Alarm system).
- Create Purchase order for workshop consumable.
- Manage Travel Desk (flight Ticket, Hotel accommodation, Visas, etc.)
- Broadcast of any newsletter/memo on office related matters from unique group and Circular memo from management Office (TOLL).
- Assist Account on petty cash/Advance cash if required.
- Assist in ordering gas for the use of forklift (whenever required), Hire of crane and forklift from TOLL (Request form).
- Purchase of office goods for. e.g. furniture, stamps, etc. Order online (RS component &Element14) for workshop consumable.
- Maintaining record of asset for laptop, handphones, monitors Desktop, Dongles, sim cards, printers, cupboards, chairs, tables and pantry equipment etc.
- Maintaining good housekeeping practices in all areas.
- Data Entry in D365 System related to Admin work.
- Perform other ad-hoc tasks assigned by management.
Knowledge, Skills & Experience
- Highly organized and work well in fast-paced environments.
- Workable knowledge of Customs requirements and relevant document control.
- Exceptional communication skills and the ability to effectively multitask are essential.
- Reliability, Systematic, comprehensive, and displaying excellent attention to detail.
- Proficient in MS packages and D365 systems.
- Data organization and storage knowledge.
- Impeccable telephone etiquette.
- A positive “can-do” attitude.
- Excellent communication skills, written and oral, especially in English.
- Ability to work in a team.
