Job Description

Office Administration

· Operate copier machines. Re-fill paper for copiers located in staff room, HOD room and general office. Call for service if copiers are faulty.

· Distribute mails/circulars/notifications (staff will be required to sign an undertaking to safeguard official information).

· Count and sort items for teachers and students e.g. files, books, souvenirs, etc.

Housekeeping

Operational Duties

2. To convert all received FormSG emails into pdf files for transfer into OSN Sharepoint daily.

3. To transfer received forms and email attachments from INET to OSN network daily.

4. To monitor the status of HRSSC population declarations that require vetting.

5. To update into e-HR those declarations that have been vetted.

6. To convert emails of vetting outcome into pdf files and transfer into OSN Sharepoint daily.

7. To upload pdf emails of vetting outcome into e-HR daily.

· Verify that errors in records have been corrected and that amended records are uploaded to the indexing system in a timely manner.

Job Description

Packing of library materials

· Collect and sort library materials by libraries, categories and sub-categories.

· Prepare the sorted materials for delivery to libraries which includes transferring of packed boxes to designated pallet, stretch-wrap full pallets and updating of stock cards.

· Maintain records of the packed library materials by categories.

· Prepare Delivery Orders and ensure correct number of pallets are released to transporter.

· Pick and pack library materials according to the pick lists provided and check that the library materials are in good physical condition.

· Scan library materials picked for delivery at the NLB borrowing station provided and pack them into bundles as indicated in the pick lists.

· Print mailing labels and ensure that all packing and labelling are done accurately to avoid error in deliveries.

· Receive returned library materials and scan them at the Book Sorting Station.

· Sort the returned library materials into the respective package numbers and shelve at the correct location on the racks.

· Update the package numbers issued and returned in the master list.

· Use of pallet jack to transfer pallets for storage, shift pallets to maximise storage and move loaded pallets to the holding area for delivery collection. Ensure safety in operating the pallet jack.
