Job Description

Office Administration

· Operate copier machines. Re-fill paper for copiers located in staff room, HOD room and general office. Call for service if copiers are faulty.

· Operate laminator and laminate materials.

· Operate shredder and shred documents.

· Distribute mails/circulars/notifications (staff will be required to sign an undertaking to safeguard official information).

· Count and sort items for teachers and students e.g. files, books, souvenirs, etc.

· Be able to answer simple phone calls and greet callers and take phone messages.

· Help out at the reception counter in the morning.

Housekeeping

· Ensure cleanliness of printing room, pantry and general office area (dispose waste, sweep and mop floor daily for level 1 general office, School Leaders rooms (4x), Meeting rooms (4x), conference room (1x), sick bay (1x).

· Maintain general cleanliness of office equipment (e.g. copiers, collators, shredder).

Operational Duties

· Cover duties of Operations Support Officers (e.g. disposal of waste paper baskets, open store room, bring contractors to storeroom, etc).

URGENT

Location : Jalan Bukit Merah

Administrative Assistant (access to OSN only) – 4 pax

Employment Duration (state estimated start and end date):

23 Dec 2024 to 30 Apr 25 (with flexibility to extend to 30 Jun 25 in case of unforeseen circumstances, e.g., surge of forms received)

Salary Payment : ≥$1,800 (till 30 Jun 25) - ≥$1,980 (from 1 Jul 25) per month

Working hours : Mon - Thursday from 0800hrs to 1730hrs (including 1 hour lunch break) and Friday from 0800hrs -1700hrs (including 1 hour lunch break).

Responsibilities:

1. To forward assigned declarations to OPC (Senior Officers) or MHRD (non-timescale DXOs) within one working day of the submitted declaration.

a.Update the status of declarations forwarded to other PMCs to Administrative Supervisor via Spreadsheet on OSN Sharepoint.

2. To convert all received FormSG emails into pdf files for transfer into OSN Sharepoint daily.

3. To transfer received forms and email attachments from INET to OSN network daily.

4. To monitor the status of HRSSC population declarations that require vetting.

5. To update into e-HR those declarations that have been vetted.

6. To convert emails of vetting outcome into pdf files and transfer into OSN Sharepoint daily.

7. To upload pdf emails of vetting outcome into e-HR daily.

Requirements:

1. Competent in IT and Microsoft Office software/applications, especially Microsoft Excel, Outlook, and Sharepoint.

2. Proficient in language.

3. GCE ’O’ (or equivalent) and above qualifications.

1. Job Scope: Pre-interview reading of student profile and interview questions, interviewing secondary school students (incl. those who may have special education needs), post-interview debrief with the research team, any subsequent verification of transcripts if necessary. Willing to travel to on-site school location. Voice recorder will be provided.
2. Working Arrangement: Research Team will notify of interview slots and confirm them 3 to 7 days in advance. Availability for last-minute stand-ins in case of illness will be good. As much as possible, if available for interviews between Januaryand March/April 2025 and 2026 would be an important advantage as this is a longitudinal study and we will try to pair students with the same interviewer. We will try to assign roughly 2 to 6 interviews per week. Unfortunately, we cannot promise anything more concrete due to our dependence on school availability for the interview sessions. All interviews will take place after curricula hours, ~1.30pm to 5.30pm.

Salary: $20 per hour, expected minimum commitment per day = 4 hours
