Position Summary:The Administrative Asistant will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. This role includes managing day-to-day administrative tasks, basic accounting functions, and assisting with HR-related activities. The ideal candidate will be a proactive and reliable individual with excellent communication skills and a knack for multitasking.
Key Responsibilities:
Administrative Duties:
- Manage and maintain office supplies and equipment.
- Answer and direct phone calls, emails, and other correspondence.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute minutes of meetings.
- Maintain an organized filing system for both physical and electronic documents.
- Assist in the preparation of regularly scheduled reports.
Accounting Duties:
- Handle basic bookkeeping tasks using accounting software (e.g., QuickBooks, Xero).
- Prepare and send invoices, as well as follow up on outstanding payments.
HR Duties:
- Maintain employee records and ensure data accuracy and confidentiality.
- Assist with recruitment processes, including posting job ads, scheduling interviews, and onboarding new employees.
- Help organize company events, training sessions, and meetings.
- Process payroll and ensure compliance with relevant laws and regulations.
- Handle employee inquiries and provide support regarding HR policies and procedures.
- Assist in the development and implementation of HR policies and procedures.
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Basic knowledge of accounting principles and experience with accounting software.
- Understanding of HR practices and procedures.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
