Main Duties and Responsibilities:
- Ensuring Safety of the vessel and her crew always as a top priority.
- With reporting to the Crew Manager, ensure support the Crew team for the full scope of marine and project crew personnel matters.
- Ensure that travel arrangements for crews are properly coordinated in collaboration with the crews, Masters, travel companies, ship agents and crewing service companies, as applicable. This includes flight arrangements, accommodations, transportation, visas, work permit applications, etc.
- Crew qualification/documentation verification, as well as flag state required certificates - Ensure that all crew members documents, licenses, visas, work permits, and certificates are valid and up to date.
- Application of various flag states applications.
- Preparation of Crew SEA & Project Crew Employment Agreement.
- Ensure that the crew travels and embarks the vessel with valid documentation and that the company's and clients matrix requirements are met.
- Ensure compliance with statutory, regulatory, and commercial requirements.
- Manage and tracking crew appraisals of managed vessels.
- Develop, oversee and maintain crew profiles and documentation in the Crew Management Software.
- Support in preparing Monthly crew payroll, ensure all the allowances / deductions, verify claims are included and upkeep of the timesheets and payroll data.
- Maintain the filing for P&I Cases and follow-up the invoices as well as discissions with relevant P&I Clubs.
- Preparation of DP and Sea Time confirmation letter as requested by the crew.
- Any other responsibilities as advised by the MD.
Minimum Experience and Skill Requirements
- A good understanding of shipping and / or offshore business and project work is a must.
- Well versed with knowledge of all the international requirements (STCW 95 / MLC etc.).
- Demonstrate skills of being able to ensure high efficiency, experience in dealing with multinational crew as well as have budget management experience related to crew costs.
- Having worked in a Marine / Shipping Company in a similar capacity as well as having managed the same tasks and responsibilities is a must.
- At least 4 to 5 years of shore based experience in similar capacity and role, preferably with a ship management or ship owner is a must.
- Communication skills both verbal and written will need to be excellent, especially in responding positively to customers in an effective manner.
- Being independent in managing the responsibilities and job requirements as well as understand tight deadlines and deliverables.
