Job Summary:
The Intellectual Property Administrator/Paralegal is responsible for supporting the IP team under the Global Innovation Group in the management, protection, and enforcement of intellectual property rights. This includes assisting with patent, trademark, copyright, and trade secret filings, maintaining IP records, and helping ensure compliance with applicable laws and regulations.
Key Responsibilities:
1. Patent & Trademark Filings:
- Assist in the preparation and filing of patent and trademark applications with the relevant government offices.
- Track deadlines for responses to office actions and other filings.
- Prepare and file supporting documents and fees for IP applications.
2. IP Portfolio Management:
- Maintain IP records, spreadsheets and databases for patents, trademarks, knowhow and trade secrets.
- Ensure accurate and up-to-date information is entered and maintained in IP management systems.
- Monitor international filing dates and national entry dates.
- Monitor renewal dates for patents and trademarks, and handle renewal applications
3. Communication & Coordination:
- Liaise with internal teams, clients, and external counsel regarding IP matters.
- Coordinate communication between the company and patent/trademark offices or other regulatory bodies.
- Respond to inquiries regarding the status of IP applications, filings, and renewals
4. Documentation & Reporting:
- Draft and maintain reports regarding the status of IP filings, renewals, and other relevant matters.
- Prepare summaries of IP portfolios for internal stakeholders or external parties.
- Organize and file IP-related correspondence, records, and contracts.
5. IP Costing Support:
- Monitor IP Costs and keep track of invoices
- Assist finance in Quaterly IP capitalisation exercise
- Assist finance in IP audit
6. Compliance & Risk Management:
- Monitor compliance with IP laws and assist with audits or investigations to detect and address any potential infringement or non-compliance issues.
- Assist with patent/trademark clearance searches and trademark watch services.
Qualifications:
- Education: Associate’s degree or Paralegal Certification; Bachelor's degree in law, science or engineering preferred.
- Experience: 1-2 years of experience in intellectual property law or a related field. Experience with patent/trademark filings, portfolio management, and IP database systems is highly desirable.
- Skills:
- Basic understanding of intellectual property laws, particularly patents, trademarks, and copyrights.
- Proficient in MS Office, online research tools and IP management software (e.g., CPA Global, Anaqua, etc.).
- Strong research, organizational, and communication skills.
- Analytical and problem-solving skills to interpret complex IP data and research filings.
- Detail-oriented with the ability to manage multiple tasks and deadlines.
Work Environment:
- Typically based in an office, though remote work may be possible.
- May involve some travel for meetings or conferences related to IP matters.
