We’re seeking an experienced and dedicated Condominium Manager to join our team! As a key member of our community management staff, you’ll play a crucial role in maintaining the well-being and satisfaction of our residents.

Responsibilities:

• Oversee day-to-day operations of the condominium
• Engage and manage service providers for repairs and maintenance as directed
• Coordinate maintenance, repairs and improvements
• Manage contracts and performance of service providers through regular physical checks and site walk
• Convene and attend all meetings; prepare minutes and reports for meeting
• Manage budgets, financial records and vendor contracts
• Foster positive relationships with residents, addressing concerns promptly
• Ensure compliance with BMSMA, relevant laws, government rules & regulations and policies

Requirements:

• Degree / Diploma in Estate Management, Building, Engineering/related discipline with minimum 3 years of relevant experience in a similar capacity
• Several years of successful condo management experience will be a plus
• Mature and independent with the ability to lead team to drive results
• Good interpersonal and communication skills
• Proficiency in MS Office and IT Savvy
• Knowledge of BMSMA & understanding of general building defects will be a plus
• Candidate with certificate in Managing Agent Practice will have an added advantage

Job Description:

• Manage phone calls and attend to walk-in residents
• Maintaining proper records of enquiries or complaints received from residents/tenants.
• Manage the booking of estate facilities such as BBQ pits, tennis courts, function room etc. in accordance to standard operating procedures/handbook/by-laws.
• Support the maintenance for office facilities and equipment, coordinate with vendors/contractors/building management for the repair and maintenance of office and estate equipment/facilities when required.
• Establish and maintain a proper filing system (including Google drive) to ensure smooth documentation and administration of the estate.
• Carry out regular updates of the content of the notice boards and enotice boards.
• Handle maintenance fee billing to residents, and issue maintenance notice/reminder.
• Assist with MCST accounts for accounts receivable, accounts payable, and petty cash management.
• Assist with the coordination of monthly council meetings and annual general meeting as instructed by the Condominium Manager.
• Any other duties assigned by the Manager

Job Requirements

• Minimum GCE ‘N’ / ‘O’ Level or relevant professional certificate such as LCCI
• Min 2-3 yr working experience in Residential MCST environment
• Hands-on experience and well-versed with Microsoft Office applications
• Meticulous and strong organizational skills
• Flair for numbers
• Possess a good work attitude
• Pleasant personality and ability to work independently
• Good telephone etiquette and communication skills
• Able to communicate with residents
• Must be a team player

Assist Condominium Manager in daily operational works:

·Inspect buildings, grounds, facilities, and equipment routinely to ensure the property is well maintained.

·Solicit and analyze quotations from contractors for repairs, renovation, and maintenance work.

·Prepare and evaluated contract tender documents for timely contract renewals.

·Assist to liaise with term contractors to ensure timely, appropriate and adequate execution.

·Assist in all projects, from scheduling, supervision as well as defects handling and closure.

·Submit timely reports, collation, filing, scrutinizing findings, and drive follow-up actions.

·Assist to check compliance with technical requirements for facilities, systems, and equipment.

·Provide reports to the Condo Manager on all status in the estate.

·Analyse service reports for all term services, and ensure everything is in order.

·Familar with paperwork like incidence reports, a summary of quotations, minuting of meetings.

.Familiar with the Building Maintenance and Strata Management Act (BMSMA) will be an added advantage.

·Perform other duties as assigned.
