1. Class and Schedule Coordination
- Plan and manage the centre’s class schedules, ensuring efficient use of resources and space.
- Coordinate with teachers and tutors to confirm availability and schedule classes accordingly.
- Monitor student attendance and follow up with parents on absenteeism.
2. Tutor Recruitment and Management
- Actively source and recruit qualified tutors to meet the centre’s needs.
- Conduct interviews, review credentials, and assess the suitability of potential tutors.
- Coordinate onboarding processes for new tutors, including orientation and training.
- Maintain a database of tutors and match them to classes based on expertise and availability.
3. Customer Service
- Serve as the main point of contact for parents and students, addressing inquiries and concerns promptly.
- Assist in onboarding new students, including explaining programs, fees, and policies.
- Handle complaints or issues professionally, escalating them to the Centre Manager when necessary.
4. Administrative Duties
- Manage and update student and tutor records, ensuring accuracy and confidentiality.
- Prepare class materials and ensure classrooms are ready for use.
- Assist with fee collection, invoicing, and payment tracking.
- Maintain inventory of supplies and coordinate orders when necessary.
5. Marketing and Enrollment Support
- Support marketing initiatives, such as assisting with events, open houses, or roadshows.
- Handle walk-in or online inquiries and provide information to prospective students and parents.
- Follow up with leads to encourage enrollment.
6. Teacher and Staff Support
- Act as a liaison between teachers, students, and parents to ensure smooth communication.
- Assist teachers with administrative needs, such as printing or preparing lesson materials.
- Coordinate with teachers for updates on students’ progress or curriculum needs.
7. Reporting and Documentation
- Maintain accurate records of class schedules, student progress, tutor availability, and attendance.
- Generate reports on enrollment, attendance, and tutor performance for the Centre Manager.
Working Hours:
- Weekdays: 1:00 PM to 9:00 PM
- Weekends (one or two per month): 9:30 AM to 6:00 PM
Requirements:
- Prior experience in an administrative or coordination role, preferably in an educational setting.
- Strong organizational and multitasking skills.
- Experience in sourcing and recruiting tutors is a significant advantage.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office or similar tools for scheduling and documentation.
- Familiarity with tuition or education-related software is a plus.
- Ability to work on at least one or two weekends per month.
