Job responsibilities :
- Coordinate and Support sales efforts to grow the business.
- Evaluate and handle the processing of all sales orders and administrative transactions while ensuring accuracy and timeliness.
- Monitor, co-ordinate and negotiate with suppliers on delivery schedules/shipments to ensure on-time deliveries.
- Coordinate with freight forwarders for the shipment of goods with competitive freight cost.
- Tracks and updates the status of ongoing shipments. Take responsibility for the shipment from its origin country until the shipment is delivered to the warehouse.
- Preparing shipping documents. Keep records of all related costs and documents including generation of Goods Received (GR).
- Co-ordinate suppliers’/distributors’/clients’ claims for shipping discrepancies such as damages, short shipment, over shipment, pricing etc.
- Co-ordinate with warehousing staff to pick/pack the shipments for delivery to clients and ensuring sales orders are delivered on time and according to contract terms and conditions.
- Coordinate sales efforts with team members and related departments.
- Maintain planning spreadsheets that are required to manage transactions and provide essential management information.
- Inform clients of unforeseen delays or problems and seek alternative arrangement to reduce inconvenience and further delays
- Ensure quick responsive services and follow-ups and build strong relationships with staff, existing and prospective clients to grow sales.
- Develop and maintain a positive corporate image and reputation with clients.
- Contribute to team dynamism by sharing feedback from clients.
- Maintain quality service by establishing and enforcing the company's service standards.
Job requirement :
- Possess an aptitude in problem-solving
- Able to work in a fast-paced environment
- Capable of collecting, analysing, processing and storing information
- Good team working and communicating skills, both verbal and written
- Good interpersonal skills (approachable, position, motivated, go-getter attitude)
- Possess computing skills, including MS Word, Excel, Outlook and conferencing software
- Able to identify opportunities for further improvements to current order processing methods
