Performs tasks such as, but not limited to, the following:

• Participates as a member of a customer focus team and acts as an interface between customers and the team.
• Receives, reviews and monitors status of customer orders.
• Works with internal and external customers to identify and resolve issues that may affect the on-time delivery of the product(s).

Knowledge/Skills/Competencies:

• Two to Four years relevant experience

Overview

This position is primarily responsible for providing logistical support to the Activities/Athletics Directors. This position requires the ability to complete varied and complex office duties, sometimes working under pressure. The associate often gives the first impression of the office thus, an outgoing, helpful, pro-active and enthusiastic personality is required. It is expected that the secretary will assist other faculty/staff/students/parents as necessary and as workload permits.

Responsibilities:

You will be part of the team managing operations of the Active Ageing Centre (AAC) - a go-to point for seniors to build strong social connections, take part in recreational activities, access community health services, and contribute to the community.

General Operations

• Familiar with the objectives of Active Ageing Centre (AAC)
• Compliant to operation rules and guidelines for AAC, ensure safety of elderly and staff
• Promote racial/religious harmony amongst the seniors

Main Responsibilities

1. Perform required entries in computer systems such as SAP, EMR. Data entry for patient registration, admission, transfer and discharge.

2. Perform payment and financial counselling duties for surgical procedures and services.

3. Provide support for OT/Endo listing and services:

a. Print elective listing for Nursing Teams to confirm elective list

4. Provide general administrative support to the department:

a. Handle incoming and out-going mails, attend to queries from internal and external parties pertaining to the theatre facilities and services.

Duties & Responsibilities

• Register patients for consultation
• Attend to queries from both internal and external customers
• Render assistance to patients when necessary
• Collect payment for services rendered and accountable for payment collected
• Provide financial counselling to patients
• Assist with appointment scheduling for patients' follow up
• To maintain the cleanliness and tidiness of the wards' counters

Requirements

• Possess at least a GCE 'N' or 'O' levels, Professional Certificate/NITEC/Higher NITEC or Diploma
• Possess the ability to speak two or more languages / dialects will be an advantage (to liaise with dialects speaking patients)
• Experience in frontline customer service is preferred
• Possess the ability to work 2 rotating shifts, including weekends and public holidays

To maintain a high level of service quality at the reception and appointment hotline /call centre and to assist the DDR Manager and the Nurse Clinician in the daily running of DDR. To maintain a high level of service quality to patients and to ensure continuous improvement to work processes.

• To receive and greet patients at various reception areas in DDR
• To register patient manually or electronically on SAP and RIS
• To print out patients’ labels, queue and time chits for appointments.
• To handle all image duplication in DVDs/CDs and/or Radiological Reports in accordance to PDPA Act
• To schedule appointments for outpatients and inpatients in accordance to scheduling rules set by DDR
• To receive and sort out request forms from Wards/SOC for vetting by Radiographers and/or Radiologists
• To offer simple financial advice on estimated procedure costs and service redirection of patients for financial assistance and counselling
• To maintain and manage the reception areas in terms of stocking of stationery, relevant patient information sheets, presentation and cleanliness
• To troubleshoot and manage cash machine for automatic payments
• To handle manual cash payments and other relevant billing issues such as Medisave, drop charges, modification of charges, refunds or exam cancellations
• To perform simple crowd-control and manage waiting times
• To reduce no-show rates and communicate need for rescheduling to patients or next-of-kin
• To manage patients during down-time as per Supervisor’s instructions e.g. rescheduling of appointments
• To attend to telephone calls, fax and other enquiries from various sources
• To participate in corporate events when necessary, especially those relevant in service quality
• To undertake any other tasks as assigned by the Supervisor, Radiographers and Nurses

Requirements

• Minimum Diploma OR GCE 'N/O/A/NITEC/ITE' Levels or WSQ Certificate in Healthcare (Admin Support)
• Prior Experience in patient service in Hospital settings is an advantage
• Good communication and interpersonal skills
• Experience in healthcare settings will be advantage
• Skilled in relevant Radiology IT systems such as RIS/PACS, SAP, EPIC will be an advantage
• Skilled in Microsoft Office programmes such as Word and Excel

Job Description

• Provide customer service and attend to our product inquiries at showroom
• Knowledge of showroom developments & design
• Maintain CRM System
• Follow up on sales enquires provided by the company
• Face to face presentation our products samples to customers
• Understand customers’ requirement to able to negotiate on price and other details to ensure high closing rate
• Provide after sales service such as managing of orders such as requesting of required samples from customers, working with internal team for visuals/mock up samples, update customers on delivery and handle any rectification of quality issues
• Maintain good relationship with potential and existing customers
• Sales order processing & scheduling, prepare Quotation and report
• Coordinate & support sales team
• Coordinate with store on inventory
• Any other duties which may be assigned by the immediate supervisor/manager from time to time.

Job Requirements

• Good communication skills.
• GCE 'N' level or its equivalent.
• Minimum 1-year work experience.
• Training to be provided
