What you'll be doing

• Acting as the central point of contact for the HOD, managing calls, emails, and visitors
• Coordinating meetings, events, and logistics, including sourcing faculty appreciation gifts and handling last-minute adjustments
• Supporting operations by organising and collating resident funding documents and maintaining up-to-date databases
• Generating reports, maintaining accurate records, and publishing updates or announcements for stakeholders
• Managing the department’s faculty and resident databases, web pages, and email groups to ensure smooth information flow
• Providing support for office requests, event planning, and ad-hoc administrative assignments

What we're looking for

• Diploma level and above from recognised institution
• At least 2 years' experience in an administrative or secretarial support role, preferably in the healthcare industry
• Strong organisational and time management skills with the ability to multitask

Role & Responsibility:

Sales

• Respond effectively to enquiries (walk-in customers, online, email, phone)
• Proactively manage customer leads to encourage trial sign-ups

Operations & Customer Service

• Oversee day-to-day operations and administration at the centre

Role:

This is a full-time, onsite, Receptionist cum Admin Assistant Role in MOE Primary School.

If you are selected, you will work closely with Admin Manager (AM) and School Leaders (SLs) in an MOE Secondary School (nearest MRT- Mayflower) in the day-to-day activities.

Responsibilities:

• Main Duty-Customer Service Duty (mindset has to meet the realist challenges and demands of a Primary School setting)
• To answer phone calls, manage visitors, takes messages, responds to enquiries and provide general useful information (in a very dynamic environment where calls are volumous)
• Able to use school implemented IT system for administrative purposes.
• To handle daily varied demands and queries from parents / students / vendors / staff etc

Job Requirements:

Summary:

Customer Service is to manage the customer services activities within warehouse to meet customer needs.

• Communicate with team members and our customers via both email and phone calls

• Customer’s order and data processing on WMS (warehouse management system)

• Verify operational documents with billing summaries to be sent to customers

• Ensure that Customer Service operational documents properly

• Liaise with operation team members to arrange any inbound / outbound activities within a set time line

Requirements

• 2 to 5 years of experience as Customer Service Officer in a warehouse environment handling incoming and outgoing shipments via sea/air freight and local transportations

• Basic knowledge / experiences on warehouse management system and documentation of order processing.

• Able to speak, read and write English upon directly communicating with customers or / and appointed vendors

• Experience with Documentation such as checklists, temperature / RH reports

• Able to compile KPI reports periodically

• Able to verify the billing reports to our customers as well as service agreements

The Warehouse staff in a GDP and GMP secondary assembly area shall work closely with the warehouse team to maintain proper storage conditions, handle products safely, and adhere to GDP and GMP requirements to ensure product quality and integrity. The key responsibilities shall include below:

• Receipt of Products: Receive incoming products and verify the accuracy of shipments against customer pre-alert and provided details. Inspect incoming products for damage, contamination, or discrepancies and report any issues to the appropriate personnel. Ensure that all received products are properly labelled, tagged, and stored in designated areas.

• Storage and Handling: Store products in accordance with labelling specifications, ensuring proper temperature control and segregation of materials. Maintain cleanliness and organization in the warehouse to facilitate efficient storage and retrieval of products.

• Pick and pack for Outbound processing including Pick and pack products in accordance to customer instructions.

• Secondary Assembly: Perform secondary assembly operations on pharmaceutical products based on customer requirement.

• Inventory Management: Work with the warehouse team and perform regular inventory counts and reconcile inventory records to ensure accuracy.

• Compliance Monitoring: Monitor warehouse operations and report any non-compliance. Implement corrective and preventive actions as needed to address non-compliance issues and improve warehouse processes. Participate in execution of quality management system such as change control, risk assessment, CAPA handling and other elements of QMS as may be assigned.

Responsibilities

• Assist in the preparation of sales agreements, invoices, billings, and documentation for sales and financing transactions
