The Executive will be responsible for overseeing the administrative matters of GERI, managing office resources, and providing guidance to staff to ensure efficiency in the overall work environment. Plan, implement and support the institute’s day-to-day operational functions.

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

1. Ensure efficient operation of the institute in alignment with the institute’s strategic plans.

2. Ensure optimum utilization of resources.

3. Work closely with all staff on issues relating to workflows and improve work processes.

4. Work closely with other departments to provide all-round efficient administrative support services.

5. Oversee and take responsibility for ensuring that the institute’s work environment and premises are safe, conducive, and kept in good order.

6. Organise and run GERI management and staff meetings, including taking and writing minutes of such meetings.

7. Communicate information, announcements, and messages promptly to the wider team (e.g., office organization, building updates, safety measurements).

8. Manage office supplies, printers, and facilities, including purchasing, maintenance, repair, and stocking.

9. Function as a liaison with landlord (YCH), YH Hospital Planning, Facilities Management (FM), Environment Services Dept. (ESD), and Security Department to ensure that the office space is safe and secure, and equipment is well-serviced.

10. Troubleshoot office technical and facilities support. Function as the key liaison with Synapxe and outsourced IT support for staff’s computer problems in general.

11. Provide on-site troubleshooting technical assistance during calls, presentations, projects, etc.

12. Review Annual IT Work Plan with GERI’s HODs and submit proposed plans and budget to Synapxe for review and consolidation.

13. Review the preliminary YH/NHG’s Annual WorkPlan with Synapxe to scrutinize the cost sharing allocated to GERI.

14. Verify IT-related invoices (from Synapxe/AHPL/NHG) on a timely basis, working with Synapxe team staff when needed.

15. Review and ensure staff training and overseas conference applications adhere to NHG HR Travel Policies.

16. Support key research events organised by GERI’s internal teams, as well as staff events such as team bonding exercises.

17. Perform the appointed Fire Warden role for the institute.

(B) GENERAL

1. Provide administrative support as assigned.
2. Assume additional responsibilities as assigned.
3. Support all corporate activities.

JOB REQUIREMENTS

(A) EDUCATION, TRAINING AND EXPERIENCE

· Experience of working in a research-focused environment is a plus

· Bachelor’s degree and recognized professional expertise

· Minimum 2-3 years’ working experience in office management/administration

· Minimum 2-3 years’ working experience in Procurement and IT matters

· Knowledge of fundamental accounting principles, audit and internal controls

· Experience with policy review and process improvement

· Possess sound judgment, decision-making and problem-solving skills

· Positive attitude, initiative, and keenness to learn

· Receptive to constructive feedback from users to improve work process

· Strong analytical, good interpersonal, and communication skills

1. Data collection and analysis of semi-structured interviewsand surveys.
2. Writing of manuscripts and conference presentations.
3. Specifically, the tasks encompass the following.

• Conceptualisation of psychosocial & behavioural studies.
• Development of study instruments - surveys andinterviews.
• DSRB submissions and approvals.
• Data collection for large-scale survey, including recruitment of participants, administration of surveys, disbursement of cash or voucher of participation, and data entry.
• Data analysis on large-scale surveys.
• Data collection for sub-study 1 (interviews).
• Data collection for mixed methods study (surveys).
• Data analysis on mixed methods study.
• Writing-up of findings (draft) - mixed methods study.

(A) EDUCATION, TRAINING AND EXPERIENCE

1. Degree in health sciences, nursing, pharmacy, clinical research or related field
2. Minimum Diploma or specialized diploma in the above fields

MAJOR DUTIES AND RESPONSIBILITIES

The Research Officer will assist the Principal Investigators (PI) to oversee the smooth running and tracking progress of clinical research studies related activities and project. This include:

• Perform DNA extraction, sample quality control, prepare sequencing libraries and Next Generation Sequencing (NGS) on clinical samples
• Collate multiple datasets and perform statistical analysis (not restricted to regression) for molecular (genomic and blood biomarker) epidemiology studies
• Perform bio-banking and cataloguing of biological samples
• To work closely with clinical research coordinators, scientist and other stakeholders
• To assist PI in project management and administration for multiple research projects, including ethics review applications to NHG DSRB
• To maintain clinical studies documentation in accordance with quality requirements
• • To assist PI with report generation, scientific meeting/conference presentations
• To produce high quality research reports, presentation and assist PI in publications
• Supervise and mentor internship studies
• To assist the PI in other day-to-day tasks as required

JOB REQUIREMENTS

• Bachelor’s degree in biomedical science or Diploma in life science with at least 5 years’ experience in relevant field
• Experience in Molecular Assays (DNA extraction, polymerase chain reaction [PCR], qPCR) and Immuno assay (ELISA)
• Hands on experience in NGS workflow and data analysis
• Excellent academic writing and communication skills
• Able to work independently as well as with a team

Desirable

• Experience of developing research projects and bringing them to successful completion
• Relevant experience using analysis large epidemiological cohort studies
• Experience in using statistical analysis tools (e.g. STATA or R)
• Experience in Genomic DNA methylation will be added advantage

MAJOR DUTIES AND RESPONSIBILITIES

1. To undertake and support research in preventing functional decline and/or implementing integrated care using implementation research, program evaluation, and health policy research
2. Prepare materials for submission to granting agencies
3. Prepare materials for ethics review
4. Conduct literature reviews, collect and analyze data
5. To produce research reports and/or journal publications
6. To develop/conduct collaborative research with external partners and colleagues
7. To supervise and guide junior researchers, postgraduate students, or interns
8. To lead relevant meetings
9. To ensure that responsibilities identified within internal processes such as research ethics procedures are met by all research team members
10. To contribute to teaching activities as appropriate.
11. Work on other projects and initiatives, as required.
