Responsibilities:
- Support the planning and scheduling of staff training sessions, workshops, and seminars.
- Ensure that required training is finished on time by keeping track of employee training records.
- Assist in managing and administering the business's insurance plans and serve as the main contact for all insurance-related issues, including corporate and employee coverage.
- Communicate with insurance companies to guarantee that all corporate and employee-related policies are current, to resolve any problems, and to guarantee efficient policy administration.
- Support the hiring, onboarding, and compliance of both domestic and international interns and apprentices.
- Handle work passes, visas, and regulatory requirements for foreign candidates.
- Support in locating, assessing, and choosing IT service providers for data security, software development, and server hosting; create service agreements that spell out duties and expectations.
- Ensure seamless daily communication, service support, and problem solving by serving as the main point of contact with the IT service providers.
- Support the implementation and upkeep of ISO certification, guaranteeing adherence through internal audits, documentation, and training.
- Liaise with external auditors and departments to facilitate audits, address non-conformities, and report on ISO performance metrics to management.
- Maintain accurate and organized filing systems for all documents.
- Minutes taking, prepare reports and presentations as needed by management.
- Manage and maintain executive’s calendars, including scheduling appointments, meetings, and coordinating logistics.
- Other ad-hoc duties as assigned.
Requirements:
- Minimum Diploma or Bachelor's degree in Business Administration, Human Resources, Accounting or a related field.
- Experience in an administrative or coordinator role, preferably with exposure to L&D, insurance, or HR-related tasks.
- Excellent organizational and multitasking skills.
- Strong communication skills (both written and verbal).
- Ability to generate professional minutes of meeting and presentations.
