Job Overview:
The Training Executive is responsible for providing administrative support in the implementation of the company’s training plans and programmes. The role involves managing training logistics, coordinating with external training vendors, maintaining training records, processing training grants, and assisting in reporting and training evaluations. The Training Executive will also provide general administrative support related to training and development initiatives.

Key Responsibilities:

Training Administration:

• Provide administrative support in the implementation of training plans and programmes.
• Manage the Training Management System (TMS), including scheduling courses, setting up training sessions, and coordinating logistics.
• Facilitate training courses and examinations as required.
• Process training grants in compliance with government policies and organizational procedures.
• Maintain and update training records to ensure accuracy and compliance.

Reporting & Evaluation:

• Collate training evaluations and feedback from participants.
• Assist in the preparation of training reports, statistics, and analysis for management review.

Vendor Liaison & Course Registration:

• Liaise with external training vendors to register for courses and manage course-related communication.
• Coordinate payment processing for training courses, including preparing payment vouchers for Finance.

General Administrative Support:

• Handle general administrative tasks, such as responding to phone and email enquiries regarding training programmes.
• Take minutes during meetings when required.
• Assist with any additional tasks and responsibilities as assigned by management.

Job Requirements:

• Minimum 3 years of related experience in training administration or HR functions.
• Proficient in MS Office applications and familiar with digital learning systems.
• Knowledge of the WSQ framework and SkillsFuture Training Partners Gateway / Skills Connect is an advantage.
• Highly organized, meticulous, and able to manage multiple tasks simultaneously.
• Excellent team player with the ability to work independently with minimal supervision.
• ACLP certification would be advantageous.

Accountabilities:

HE Programme Delivery: Monitor and maintain an efficient and coordinated system to deliver the programmes. Oversee contracts, payments, billing, enrolment system set-up, student's pass validity and report checking. Ensure proper set-up for class selection, course evaluation and online teaching platforms. (as applicable)

Coordination with University Partners/Stakeholders: Maintain good relations with university partners/stakeholders and student leaders. To stay abreast of changes by university partners/stakeholders which may affect resource management. Coordinate and execute activities to facilitate visits.

Lecturer Management: Tabulate the information required for the accurate deployment of qualified lecturers. Ensure lecturers are approved to teach by both SIM and CPE. Propose resolutions to issues faced by lecturers. (as applicable)

Student Management: Oversee student life cycle. Maintain timely, friendly and nurturing communication with stakeholders including prospects, students and alumni. Resolve customer complaints and feedback. Work with academic leads to review academic performance and carry out intervention for weak-performing students.

Class Scheduling and Assessment Management: Carry out delivery operations in accordance with course requirements, CPE regulations and internal quality requirements. (as applicable).

Process Innovation: Coordinate data to enable digitisation and automation of systems. Collate team feedback, identify pain points and suggest workable ideas. Participate in testing and UAT of new systems before final execution.

Marketing and Recruitment: Maintain an updated pool of students and graduates to profile. Roster and support all marketing and recruitment efforts, conduct briefings and work with key stakeholders to ensure smooth on-boarding of new students.

Programme Review: Generate data and statistics for planning and review of activities. Follow through changes (system setup, etc) for programme reviews (internal and external).

Project Management: Oversee continuous improvement project to ensure project effectiveness and team engagement.

Academic Education and Work Experience:

• Bachelor’s Degree or Diploma / “A” Level holder with 3 - 5 years of working experience

Skills:

• Proficient in MS office applications
• Data analytical
